Overview

We are seeking a highly organized and proactive Scheduler to join our dynamic team. In this vital role, you will coordinate and manage appointment schedules, ensuring seamless communication and efficient workflow across departments. Your expertise in office management, calendar coordination, and technical proficiency will help optimize daily operations and enhance overall productivity. Duties

Develop, maintain, and update detailed schedules for multiple teams or departments using productivity software and calendar management tools
Coordinate appointments, meetings, and events, ensuring all logistical details are arranged accurately and efficiently
Manage multiple communication systems to handle inquiries, direct calls appropriately, and provide excellent customer support
Utilize data entry skills to input scheduling information into spreadsheets and office management systems with precision
Maintain organized filing systems for scheduling records, correspondence, and related documents
Communicate effectively with clients, team members, and external partners via phone, email, or in person to confirm appointments and relay important information
Support front desk operations by greeting visitors, managing phone etiquette, and providing administrative assistance as needed

Qualifications

Proven experience in office management or administrative roles with a focus on scheduling or calendar coordination
Strong computer skills including proficiency in Microsoft Office (Word, Excel), spreadsheets, and productivity software
Familiarity with QuickBooks or similar accounting software is a plus
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Exceptional communication skills both verbal and written; bilingual abilities are advantageous
Demonstrated experience with multiple communication systems and front desk responsibilities
High level of accuracy in data entry, proofreading, and document management
Ability to handle multiple tasks simultaneously while maintaining professionalism and attention to detail
Previous experience as a personal assistant or in office support roles is desirable
Strong time management skills with the ability to meet deadlines consistently
