Documentation Specialist

Company: Forester Family Medical Supply
Reports To: Care Team Lead and General Manager
Employment Type: Full-Time
Schedule: 40 hours per week, Monday through Friday 8am-5pm

Position Summary

Forester Family Medical Supply is seeking an organized, dependable, and detail-oriented Documentation Specialist to assist with obtaining the medical documentation required to process patient orders.

The primary responsibilities include contacting medical provider offices to confirm they have received our paperwork, following up on outstanding documentation, and communicating with patients, parents, or caregivers to confirm that necessary appointments have been scheduled or completed.

The individual tasks are generally straightforward; however, this position involves a high volume of repetitive follow-up. The ideal candidate must be comfortable making frequent phone calls, completing consistent follow-ups, accurately documenting every interaction, and remaining organized while managing multiple patient accounts.

Primary Responsibilities

Contact medical provider offices to confirm they have received prescriptions, documentation requests, and other paperwork sent by Forester Family Medical Supply.
Verify that paperwork was sent to the correct provider, department, and fax number.
Resend paperwork when a provider reports that it was not received.
Follow up with provider offices regarding outstanding prescriptions, chart notes, letters of medical necessity, and other required documentation.
Determine whether the patient needs an appointment before the requested documentation can be completed.
Contact patients, parents, or caregivers when an appointment is required.
Follow up to confirm that the necessary appointment has been scheduled.
Obtain the appointment date and accurately update the patient’s account.
Follow up after completed appointments to request the necessary chart notes or signed documentation.
Keep patients, parents, and caregivers informed about the status of their documentation.
Review incoming documents to confirm they are complete, signed, dated, and associated with the correct patient.
Identify missing, incomplete, outdated, or incorrect documentation.
Communicate documentation issues to the provider’s office and request the necessary corrections.
Accurately document every call, fax, email, appointment update, and follow-up attempt in the appropriate system.
Maintain an organized follow-up schedule for assigned patient accounts.
Follow all company timelines and procedures for contacting provider offices and patients.
Move completed patient accounts to the appropriate department for prior authorization or continued processing.
Communicate delays, repeated unsuccessful follow-ups, or complicated cases to the appropriate supervisor.
Coordinate with the intake, prior authorization, billing, delivery, and care team departments.
Protect confidential patient information and comply with all HIPAA requirements.
Assist with phone coverage and general administrative tasks when needed.
Perform additional duties as assigned based on company needs.

Qualifications

High school diploma or equivalent required.
Previous experience in medical administration, medical records, customer service, data entry, or a healthcare office is preferred.
Comfortable making a high volume of outgoing phone calls.
Ability to complete repetitive tasks accurately and consistently.
Strong attention to detail and organizational skills.
Excellent follow-up and time-management abilities.
Professional written and verbal communication skills.
Ability to communicate patiently and clearly with provider offices, patients, parents, and caregivers.
Ability to manage multiple patient accounts and follow-up deadlines.
Basic computer skills and the ability to learn company systems.
Ability to work independently while contributing to a team environment.
Dependable attendance and consistent punctuality are required.
Experience with durable medical equipment, Medicaid, Medicare, or insurance documentation is a plus.
Bilingual English and Spanish is a plus.

Pay: $17.00 - $19.00 per hour
