Full Job Description

Our busy law firm is seeking a dependable, organized, and technology-savvy Part-Time Legal Assistant to support our residential real estate and estate planning practice.

We are looking for someone with meaningful residential real estate experience who already understands the transaction process from contract through closing. The ideal candidate should have a solid working knowledge of residential real estate so they can quickly become productive by learning our office procedures—not the fundamentals of the industry.

This position involves assisting with real estate transactions, estate planning matters, client communications, scheduling, document preparation, file management, and general office operations.

Responsibilities

Assist attorneys with residential real estate transactions from contract through closing.
Communicate with buyers, sellers, attorneys, real estate agents, lenders, title companies, municipalities, and homeowners' associations.
Track critical transaction deadlines, including attorney review, inspection, financing, appraisal, and closing dates.
Prepare and organize legal documents, correspondence, and transaction files.
Assist with drafting attorney review letters, inspection requests, and other real estate-related correspondence.
Assist with the preparation of estate planning documents.
Maintain organized electronic and physical client files.
Support general office operations and provide exceptional client service.

Qualifications

Prior law firm experience required.
Experience with residential real estate transactions required.
Proficiency with Microsoft Outlook, Word, and Excel is required.
Experience with Adobe Acrobat and Adobe Sign (electronic signature platform) preferred.
Familiarity with Smokeball case management software preferred.
Experience drafting estate planning documents using WealthCounsel preferred.
Excellent organizational, communication, and follow-up skills.
Strong written and verbal communication skills.
Ability to manage multiple files, prioritize competing deadlines, and thrive in a fast-paced environment.

Be highly proficient with technology and confident learning new software platforms and digital workflows.
Have the ability to quickly navigate unfamiliar software, adapt to new technology, and embrace tools that improve efficiency and client service.
Communicate professionally and confidently with clients and other professionals.
Take ownership of their work and contribute to a collaborative team environment.
