Carpenter Hotel is looking for a part-time Marketing and Programming Coordinator to assist our Marketing Manager with high-level marketing and organizational duties. This is an exciting opportunity to work at a prime location where music and Austin culture thrive!
This position plays a vital role in supporting marketing, programming, and event operations by ensuring all initiatives are organized, accurate, and executed seamlessly. Responsibilities include managing marketing collateral, coordinating content across channels, and maintaining up-to-date event information in internal systems and calendars. This role also partners closely with vendors, influencers, and internal teams to organize marketing assets, align on deliverables, and support overall brand consistency.
What You'll Do
· Manage ordering and distribution of printed marketing collateral
· Input event art + copy into all marketing channels
· Source/Order additional event collateral (wristbands etc)
· Input all event details into project management programs :
· Outlook calendar invites w/BEO link
· PR worksheet
· Envision
· Master programming calendar
· Social Media support
· Event partner accounting management
· Manage workflow to ensure on-time payment for all event partners and vendors
· Follow up with accounting and vendor to coordinate check pick up or mailing.
· Coordinate with PR + influencers on agreement/deliverables/reservations
· Event partner marketing assets coordination:
· Acquiring, organizing and distributing:
· Photography
· Copy/descriptions
· Share final art with partners to confirm details (if needed)
· Event Management
· Send vendor/partner payment SOP + contracts.
· Create BEO’s/Input all events details into Envision software
· Coordinate with F&B team to put together any event specials
· Review events at BEO meeting with property teams and create set up site plan + timeline
· Build out timelines, menus, routing info, floor plans, FFE/OSE needed, pricing.
· Ensure all event collateral is delivered to Ops/is set up
· Meet property team pre-event to make sure set up is correct
· Day-of Event Point of Contact
· Connect with partner, vendor and property team leading up to event event to coordinate arrival + set up, make sure they have everything they need. (parking, green room, artist tabs)
· Coordinate event load-ins and immediate needs of vendor/partners and property team on day of event
· Assist with any needs from visiting influencers
· Ensure that event set up is executed according to the BEO for event start
· Gather post-event stats for reporting + input into event recap
· Make operations updates/improvements to BEO’s for future event design.
Additional Marketing Support
· Photoshoot Assistance
· Reviewing and distributing day-of shot list to property teams
· Assisting in photoshoot coordination with Front Desk and F&B teams
· Monthly marketing reporting assistance
· Monitor websites and internet presence to ensure accurate information is available on the website, event details, hours, policies, menus, photos
· Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.

Knowledge, Skills, and Abilities:
· High School diploma or general education degree (GED) required
· One (1)–two (2) years of experience in marketing coordination, event planning, hospitality, or related service industry preferred
· Ability to speak, read, write, and understand the primary language(s) of the workplace
· Ability to read and interpret documents such as event orders, contracts, safety guidelines, and operational procedures
· Ability to write routine reports, event recaps, and professional correspondence
· Ability to communicate effectively with co-workers, property teams, vendors, and external partners
· Proficiency in Microsoft Office, including Excel, Word, and Outlook
· Ability to learn and navigate multiple computer systems, including event management and project management platforms (e.g., Envision or similar systems)
· Strong organizational skills with the ability to manage timelines, track details, and maintain accurate records
· Ability to multitask and adapt in a fast-paced, deadline-driven environment
· Strong attention to detail and problem-solving skills
· Availability to work hours as required for events
