Full Job Description

Mailroom Technician

RESPONSIBILITIES:

· Mail Transport and Delivery:

o Operate a small company van to pick up incoming mail and packages from the post office or other designated locations.

o Safely transport all incoming and outgoing mail between the post office and the organization’s mailroom or other designated locations.

o Deliver screened mail to internal recipients at designated locations on a scheduled route.

· Mail Screening and Security:

o Perform mail screening procedures in accordance with Chemical, Biological, Radiological, Nuclear and Explosive (CBRNE) threat detection Standard Operating Procedures (SOP) and protocols using provided equipment.

o Follow established SOPs for identifying, documenting, and reporting suspicious items to the Mailroom Manager.

o Maintain compliance with organizational mail security, safety standards, and screening protocols.

· Mailroom Operations:

o Assist with sorting, logging, and organizing all mail items.

o Maintain accurate records of all mail movements and incident reports in accordance with SOPs and using provided equipment.

o Maintain cleanliness and organization of the mailroom workspace and delivery vehicle.

· Operational Support:

o Perform routine equipment checks and vehicle readiness tasks as assigned.

o Support overall mailroom efficiency by following established workflows and SOPs.

o Coordinate with the Mailroom Manager and team members to meet daily operational priorities.

Skills

· The ability to operate and carry out tasks while maintaining an extremely rigorous adherence to operational and information security concerning all aspects of the work being performed is a non-negotiable requirement

· Strong attention to detail and ability to follow strict safety and security protocols.

· Dependable, punctual, and capable of working with minimal supervision.

· Ability to operate in a security-sensitive environment with a high level of integrity.

· Effective communication and basic recordkeeping skills.

· Willingness to complete CBRNE screening training as required.

· High School Diploma or equivalent.

· 1 years of experience in mailroom operations, delivery services, logistics, or facilities support preferred.

· Valid driver’s license with a clean driving record.

· Ability to lift packages up to 50 lbs and perform repetitive physical tasks.

· Must be able to pass background screening and any required security clearances.

WORKING SCHEDULE / ENVIRONMENT

· Well-maintained mailroom facility operating within a collaborative, self-directed team environment.

· Some overtime or Saturday work may be required but is rare, depending on mail volume and special deliveries.

· Salaried position – time-sensitive tasks are expected to be completed within the committed and agreed-upon timeframe, with a minimum of 40 hours per week.

· Upfront flexibility in establishing the weekly schedule is available, provided it falls within standard on-site operating hours, typically 7:00 AM to 4:30 PM.

· Consistent and agreed-upon arrival and departure times will be determined prior to the start date.

DEGREE OF SUPERVISION GIVEN / RECEIVED

· Works under the direction of the Mailroom Manager.

· Expected to manage assigned daily tasks independently while escalating issues or conflicting priorities as needed.

· No direct supervisory responsibilities.
