About A2Z Millwork Design

A2Z Millwork Design LLC is an AWI Gold Partner millwork drafting and design firm with 130+ team members across Austin, Texas; Windsor, Ontario; and India. We produce shop drawings, engineering, and CNC-ready files for architectural millwork manufacturers, general contractors, and design firms across North America.

Our US entity is small and lean. This role owns payroll, HR compliance, and the books for it.

About the Role

We are looking for an experienced part-time professional who can run payroll in Gusto, keep our HR compliance clean, and maintain accurate books — without supervision. This is a hands-on individual contributor role, not a management position. You will report directly to the founder.

The ideal candidate has done this work for a small business before and knows where the compliance landmines are: multi-state filings, worker classification, benefits deductions, quarterly returns, and year-end close.

What You'll Do

Payroll (Gusto)

Process semi-monthly/bi-weekly payroll end to end in Gusto, including off-cycle runs, bonuses, and final paychecks
Onboard new hires in Gusto: I-9, W-4, direct deposit, state registration
Maintain accurate PTO accruals, deductions, garnishments, and reimbursements
Verify and reconcile Gusto tax filings: Form 941, 940, W-2, W-3, and 1099-NEC
Manage Texas Workforce Commission (TWC) unemployment reporting and rate changes
Handle multi-state payroll setup and registration if we hire outside Texas
Administer pre-tax benefit deductions (health, HSA/FSA, retirement) through payroll

Human Resources

Maintain personnel files, offer letters, employment agreements, and I-9 documentation
Own onboarding and offboarding checklists
Keep the employee handbook and policies current with federal and Texas requirements
Track PTO, leave requests, and attendance
Support benefits enrollment, renewals, and carrier/broker coordination
Advise on employee vs. contractor classification and exempt vs. non-exempt status
Maintain compliance with FLSA, ACA reporting, EEO, and required workplace postings

Accounting

Record and categorize transactions; maintain the general ledger [QuickBooks Online / your system]
Manage accounts payable and accounts receivable, including vendor payments and client invoicing
Reconcile bank, credit card, and payroll accounts monthly
Record payroll journal entries and reconcile payroll liabilities to the GL
Prepare monthly financial statements: P&L, balance sheet, cash flow
Maintain W-9s and prepare annual 1099 filings for contractors
Support sales and use tax filings where applicable
Prepare clean books and supporting schedules for the outside CPA at year-end
Assist with intercompany coordination across our Canadian and Indian entities

What We're Looking For

Required

3+ years of combined payroll, HR, and bookkeeping experience in a small business environment
Hands-on, current experience running payroll in Gusto (not just viewing reports)
Solid grounding in GAAP fundamentals: accruals, journal entries, reconciliations, month-end close
Working knowledge of federal and Texas employment tax: FICA, FUTA, SUTA, withholding, and quarterly/annual returns
Familiarity with HR compliance: I-9, W-4, FLSA classification, and personnel recordkeeping
Strong Excel skills (pivot tables, lookups, reconciliations)
Discretion with confidential payroll, compensation, and employee data
Authorized to work in the United States

Preferred

Experience with QuickBooks Online or comparable accounting software
Experience supporting a multi-member LLC taxed as a partnership (K-1s, partner draws, guaranteed payments)
Multi-state payroll registration and filing experience
Benefits administration experience, including pre-tax payroll deductions
Bachelor's degree in Accounting, Finance, or HR; or CPP, FPC, PHR, or SHRM-CP certification
Experience in construction, manufacturing, or professional services
