Job Summary
I am seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing schedules, coordinating projects, handling correspondence, and ensuring the smooth operation of daily activities. The ideal candidate will be a detail-oriented professional with excellent communication skills, capable of multitasking in a fast-paced environment. Your energetic approach and dedication will help drive efficiency and enable our leadership to focus on strategic priorities.

Responsibilities

Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
Coordinate and organize various projects, ensuring deadlines are met and all stakeholders are informed through effective communication.
Handle all aspects of office management including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing correspondence.
Serve as the first point of contact via multi-line phone systems with professional phone etiquette; greet visitors at the front desk with warmth and professionalism.
Organize event planning activities such as meetings, conferences, or company functions from start to finish.
Utilize office software such as Microsoft Office Suite and Google Workspace for document creation, editing, and presentation purposes.

Skills

Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.
Strong project coordination abilities to manage multiple tasks efficiently while maintaining attention to detail.
Experience with bookkeeping software like QuickBooks and basic bookkeeping principles.
Exceptional typing speed combined with transcription and proofreading skills to produce accurate documents swiftly.
Outstanding customer service skills paired with professional phone etiquette for handling inquiries via multi-line phone systems.
Ability to manage calendars effectively using Microsoft Outlook Calendar or similar tools; adept at scheduling across different time zones if needed.
Knowledge of office management procedures including filing systems, data entry accuracy, and front desk operations.
