Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth office operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to handle a variety of tasks that keep our business running efficiently. You will play a key role in managing financial records, supporting client interactions, and maintaining an organized office environment. This paid position offers an exciting opportunity to grow your skills in a fast-paced, supportive setting.

Duties

Manage day-to-day bookkeeping using QuickBooks, ensuring accurate recording of financial transactions, invoicing, and expense tracking
Handle multi-line phone systems with professionalism, providing exceptional customer service and support to clients and vendors
Maintain organized filing systems for financial documents, contracts, and correspondence; ensure all records are up-to-date and easily accessible
Assist with office management tasks such as calendar scheduling, appointment setting, and coordinating meetings
Perform data entry tasks with high accuracy into spreadsheets and productivity software; proofread documents for clarity and correctness
Support client communication through phone calls, emails, and written correspondence; provide friendly front desk reception
Utilize strong organizational skills to prioritize tasks efficiently, ensuring timely completion of administrative duties and client requests

Experience

Proven clerical or administrative experience in an office environment, with familiarity in office management practices
Hands-on experience with QuickBooks accounting software is highly preferred
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other productivity tools; strong typing and data entry skills
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Strong phone etiquette and customer service skills to handle inquiries professionally and courteously
Technical proficiency in computer literacy, including familiarity with spreadsheets, word processing, filing systems, and calendar management
