POSITION DESCRIPTION

Herbert Wertheim College of Medicine is currently seeking an Office Coordinator to join our team of professionals

Duties Include:

Carries out smooth and efficient day-to-day office operations, managing internal and external correspondence, documents, and communications while providing administrative support to faculty and staff. Oversees mail and courier services, including checking carrier mail, preparing FedEx labels, picking up and delivering items, and manages the NHELP Finance email inbox to ensure timely and accurate responses.
Handles gift cards as needed for grant activities. This includes distribution, monthly reconciliation, and reporting to administrative staff and faculty
Schedules meetings, prepares and distributes agendas and back- up information, coordinates logistics, and prepares meeting minutes.
Maintains and manages the department directory, ensuring all contact information is accurate and kept up to date. Regularly updates and effective communication and preparedness
Maintains office supplies by monitoring inventory levels, anticipating needs, placing orders, and notifying requestors of supply deliveries to faculty and staff. Processes invoices and maintains an accurate vendor log to support purchasing and financial tracking.
Backs up and provides support to the Senior Executive Assistant with planning, coordinating, and scheduling office meetings, activities, and events. Provides logistical and administrative support to ensure all meetings and events are organized and executed efficiently.
Oversees the submission and processing of travel requests, local vicinity mileage, and related reimbursements for travel and other expenses. Ensures compliance with FIU and HWCOM finance policies and procedures and serves as the liaison for OCA travel matters with the HWCOM Finance Department.
Manages the department's SharePoint system by creating, organizing, managing, andediting folders and subfolders within the system. Additionally, edit users, permissions, etc.
Resolves a wide variety of complex situations and conflicts involving the functions of the office.
Trains new hires in mileage and other software, procedures, and services, as needed. Also, provides confidential assistance in the receipt and handling of information.
Manages purchasing of all clinical supplies for Mobile Health Center operations. Collaborates with the Herbert Wertheim College of Medicine (HWCOM) Finance Team to purchase goods and works with Office of Clinical Affairs leadership to confirm receipt of goods and services. Manages the reservation of annual flu vaccines to ensure adequate supplies.
Maintains ongoing relationships with clinical vendors. Works with vendors to seek alternative options for purchasing and procuring accounts.
Maintains manuals and procedural guidelines to ensure accuracy and consistency across operations. Collaborates with other teams to upload, organize, and manage individual manuals and procedures within SharePoint.
Maintains and manages departmental IT inventory, ensuring accurate tracking, documentation, and lifecycle monitoring of equipment.
Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

MINIMUM QUALIFICATIONS

High school diploma or GED and six (6) years of office or related experience providing administrative support; OR an equivalent combination of relevant education and/or experience.
