Job Overview
We are seeking a detail-oriented and proactive Inventory Parts Manager to oversee parts procurement, inventory control, warehouse organization, and logistics operations for a fleet and agricultural equipment operation.
This position will be responsible for managing the full lifecycle of parts—from purchasing and receiving through storage, issuance, and replenishment. Equipment used in the operation may include semi trucks, trailers, tractors, loaders, agricultural equipment, trucks, vehicles, and other heavy equipment and machinery.
The Inventory Parts Manager will play a critical role in developing preventative maintenance programs, maintaining accurate maintenance inventory levels, controlling costs, developing vendor relationships, and ensuring critical parts are available when needed. The successful candidate will be organized, accountable, mechanically knowledgeable, and capable of identifying opportunities to improve inventory and purchasing processes.
This position will begin with a three-month trial period, during which performance, organization, communication, inventory accuracy, purchasing practices, and ability to improve processes will be evaluated.
Key Responsibilities
- Maintain inventory accuracy above 98% through regular cycle counts, physical audits, and proper inventory controls utilizing MaintainX.
- Develop preventative maintenance programs and upload into MaintainX.
- Coordinate with onsite managers to ensure purchase orders are properly approved before parts are purchased or picked up.
- Ensure all parts are properly relieved from inventory against the corresponding work order when issued or used.
- Monitor inventory levels, usage, and reorder points to ensure critical and frequently used parts are consistently available.
- Identify potential shortages and proactively purchase parts before they impact fleet, maintenance, or agricultural operations.
- Maintain a clean, organized, and efficient parts warehouse and storage system.
- Properly label, organize, and maintain parts to minimize misplaced, obsolete, or damaged inventory.
- Manage the complete inventory transaction process, including receipts, issues, returns, transfers, and adjustments.
- Build and maintain strong vendor relationships while obtaining competitive pricing, quality products, and reliable delivery.
- Request and compare vendor pricing when appropriate and negotiate favorable terms.
- Monitor purchasing and usage trends to identify opportunities to reduce costs and eliminate unnecessary or obsolete inventory.
- Coordinate shipping and receiving activities and verify that incoming parts match purchase orders and packing documentation.
- Work closely with maintenance, fleet, agricultural, and onsite managers to understand upcoming parts requirements and equipment needs.
- Research and source OEM, aftermarket, and replacement parts for semi trucks, trailers, tractors, agricultural equipment, loaders, heavy equipment, and other company assets.
- Identify interchangeable parts and cost-effective alternatives when appropriate while maintaining quality and reliability.
- Maintain knowledge of commonly used heavy-duty truck, trailer, diesel, hydraulic, electrical, agricultural, and equipment parts.
- Continuously identify ways to improve inventory procedures, purchasing practices, warehouse organization, and reporting.
Equipment & Parts Knowledge
The Inventory Parts Manager should have a working knowledge of parts and maintenance requirements for a variety of equipment, including but not limited to:
- Semi trucks and heavy-duty trucks
- Semi trailers and other trailers
- Agricultural tractors
- Loaders and wheel loaders
- Agricultural and farm equipment
- Diesel engines and related components
- Hydraulic systems and components
- Electrical and electronic systems
- Braking and air systems
- Suspension and steering components
- PTOs, driveline, and powertrain components
- Tires, wheels, and related equipment
- Filters, belts, hoses, bearings, fittings, and other maintenance items
- Other fleet, shop, agricultural, and heavy equipment as assigned
Daily Management Reporting
The Inventory Parts Manager is responsible for providing a daily status update to upper management covering:
- Current inventory levels and significant changes
- Critical parts or potential shortages
- Parts purchased and purchase orders placed
- Outstanding orders and expected delivery dates
- Inventory discrepancies or issues identified
- Parts received, returned, or transferred
- Vendor issues or pricing concerns
- Obsolete or excess inventory
- Work orders requiring attention
- Equipment or maintenance needs affecting parts availability
- Action items and priorities for the following day
Requirements & Qualifications
- Proven experience in inventory control, procurement, supply chain management, warehouse management, fleet parts, agricultural equipment parts, or heavy-equipment parts.
- Experience supporting semi trucks, trailers, tractors, agricultural equipment, loaders, heavy equipment, or similar machinery is highly desirable.
- Strong understanding of heavy-duty truck, diesel, agricultural, and equipment parts.
- Mechanical knowledge and the ability to identify and research parts based on equipment requirements.
- Ability to use equipment manuals, parts books, manufacturer information, and online resources to identify correct replacement parts.
- Experience with inventory management systems, WMS, ERP platforms, or similar systems.
- Experience using MaintainX or the ability to quickly learn and effectively utilize the system.
- Hands-on experience with shipping, receiving, inventory transactions, and warehouse procedures.
- Strong purchasing and vendor-management skills.
- Ability to negotiate effectively with suppliers while maintaining professional vendor relationships.
- Proficiency with Microsoft Excel and Word for inventory tracking, reporting, and data analysis.
- Strong organizational skills and exceptional attention to detail.
- Excellent communication skills and the ability to coordinate effectively with maintenance, fleet, agricultural operations, management, and vendors.
- Ability to prioritize multiple tasks and work independently with minimal supervision.
- Forklift certification is preferred.
- Experience with diesel mechanics, trucking, agricultural equipment, hydraulics, HVAC, automotive repair, heavy equipment repair, or auto body repair is a plus.
- Must demonstrate initiative, accountability, reliability, and a willingness to take ownership of inventory operations.
Performance Expectations
The successful candidate will be expected to:
- Maintain greater than 98% inventory accuracy.
- Ensure parts are properly documented and charged to the correct work order.
- Prevent critical parts shortages through proactive purchasing and inventory management.
- Maintain a clean, organized, and efficient parts warehouse.
- Reduce unnecessary, obsolete, and excess inventory.
- Obtain competitive pricing and maintain strong vendor relationships.
- Provide accurate and timely daily updates to upper management.
- Identify and implement improvements to inventory and purchasing processes.
- Take ownership of inventory discrepancies and resolve issues promptly.
- Demonstrate consistent accountability, communication, and attention to detail.
- Support the maintenance and uptime of the company's semi-truck fleet, trailers, tractors, agricultural equipment, loaders, and other heavy equipment.

Position Summary
This is a key operational position responsible for ensuring the organization has the right parts, at the right time, at the right cost.
Pay: $22.00 - $25.00 per hour
