Care Coordinator - Valeda
Job Summary
The Valeda Coordinator oversees and supports the full Valeda/Photobiomodulation (PBM) patient experience within their region, acting as the primary point of contact from consultation through treatment completion. They ensure patients are properly scheduled according to treatment protocols, understand expectations and financial responsibilities, and are guided through care with professionalism and compassion. The role also includes ophthalmic technician duties and close collaboration with physicians, front office staff, financial counselors, and RCM to maintain efficient workflow and continuity of care. Reporting to the Valeda Lead Coordinator and regional leadership, this position focuses on patient coordination, scheduling, and treatment operations within the assigned market.
Duties / Responsibilities
- Serves as the primary coordinator for all assigned Valeda patients from consultation through completion of treatment

Coordinates scheduling of all Valeda treatment series in accordance with physician direction and treatment cadence requirements

Ensures patients are scheduled appropriately within the required 3–5 week treatment windows

Coordinates follow-up appointments and future treatment series scheduling

Maintains communication with patients regarding upcoming appointments, scheduling changes, and treatment adherence

Assists in maintaining efficient treatment throughput and clinic flow

Communicates with physicians, technicians, front office staff, and schedulers to ensure continuity of care
- Educates patients on Valeda treatment expectations, cadence, and overall plan of care

Reinforces patient understanding of scheduling frequency and treatment compliance requirements

Reviews treatment costs, deposits, and financial obligations with patients

Obtains required financial waivers including ABNs or equivalent documentation when applicable

Coordinates with RCM and authorization teams regarding insurance verification, authorizations, denials, and reimbursement-related questions

Assists patients with questions regarding insurance coverage variability and payment expectations
-
Reinforces consistency in patient communication and education standards established by leadership
- Performs Valeda light therapy treatments under physician direction and according to established protocols

Ensures proper patient positioning, safety, and operation of Valeda equipment

Confirms treatment eligibility and readiness prior to treatment initiation

Accurately documents treatment sessions and patient interactions within the EMR

Monitors for any patient concerns or vision changes and escalates concerns appropriately

Assists physicians and clinic staff in maintaining efficient treatment workflows and patient throughput

Coordinates with the Valeda Lead Coordinator regarding workflow concerns, operational barriers, and process improvement opportunities
- Performs comprehensive ophthalmic workups including visual acuity, medical history, and diagnostic testing as delegated by physician

Assists physicians during clinic as needed to support patient flow

Performs OCT imaging and other delegated diagnostic testing

Maintains exam rooms, treatment rooms, equipment, and supplies in a clean and organized manner

Performs opening and closing duties as assigned

Maintains compliance with HIPAA, OSHA, Medicare, and organizational policies

Performs additional duties as assigned
- May require occasional travel between clinic locations depending on operational needs

Must maintain professionalism, flexibility, and strong communication skills while supporting regional clinic operations

Expected to assist in maintaining consistency in workflow execution and patient experience standards across the Valeda service line

Will participate in ongoing Valeda workflow education and training initiatives led by the Valeda Lead Coordinator and leadership team
About the Candidate
Education and Experience
-
High school diploma, GED, or equivalent required
-
Ophthalmic technician experience preferred
-
Minimum 1–2 years in ophthalmology, retina healthcare coordination, or medical office setting preferred

Experience with patient scheduling, coordination, or customer service preferred
-
Experience with insurance verification or authorization workflows preferred
-
Knowledge of dry AMD and retinal terminology preferred
-
Experience with Valeda / PBM workflows preferred but not required
