Full Job Description

We are seeking a highly organized and proactive Project Administrator to support the Project Manager in the day-to-day operations of residential and/or commercial pool construction projects. This role involves direct communication with clients, assisting with budget tracking, coordinating vendors and suppliers, managing permit applications, and keeping Buildertrend updated with project information and documentation.

You will play a key role in keeping projects running smoothly from planning through completion.

Key Responsibilities:

Client Communication:
Serve as a point of contact for clients to relay updates, answer basic questions, and coordinate meetings.
Prepare and send professional emails, progress reports, and schedules.
Help manage client expectations and maintain a positive client experience.
Project Coordination:
Support the Project Manager in tracking timelines, milestones, and deliverables.
Help schedule site visits, inspections, and subcontractor work.
Maintain and update project calendars and status in Buildertrend.
Permit Coordination:
Prepare and submit permit applications to local municipalities and agencies.
Track permit status, follow up with agencies, and ensure timely approvals.
Maintain organized records of all permit documents and correspondence.
Stay informed on local code requirements relevant to pool construction.
Budget & Documentation Support:
Assist in monitoring project budgets, expenses, and purchase orders.
Organize and maintain project files, contracts, change orders, and financial records within Buildertrend.
Prepare budget reports or summaries for internal and client review.
Vendor & Supplier Coordination:
Communicate with suppliers and subcontractors for quotes, delivery schedules, and invoicing.
Help evaluate vendor options based on pricing, availability, and performance.
Track vendor communications and ensure all documentation is filed appropriately.
General Administrative Duties:
Answer phones, manage emails, and maintain digital and physical records.
Order office and site supplies as needed.
Help ensure compliance with local regulations and company policies.

Qualifications:

Proven experience in an administrative or project coordination role, preferably in construction or related industries.
Experience using Buildertrend (or similar construction/project management software) is highly preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Ability to work independently and handle multiple tasks with attention to detail.
Familiarity with construction terminology, permitting processes, or pool installation is a plus.

Preferred Attributes:

Experience with Buildertrend or ability to quickly learn construction software.
