Job Title: Office Manager & Admissions Coordinator

Pay Range: $20-$25 per hour

Job Summary

The Office Manager and Admissions Coordinator oversees daily clinic operations and manages the patient intake process. This dual role ensures a welcoming environment, seamless administrative workflows, and efficient onboarding for new clients.

Key Responsibilities

Admissions & Intake Coordination

Respond to all initial patient inquiries via phone, email, and web forms.
Conduct initial telephonic screenings to determine patient needs and clinical fit.
Verify commercial insurance benefits, mental health coverage, and copays.
Schedule intake assessments with appropriate licensed therapists or psychiatrists.
Manage the electronic health record (EHR) waitlist and track referral sources.
Coordinate collection of completed intake paperwork and consent forms.

Office Management & Operations

Greet patients, visitors, and clinicians, maintaining a warm, confidential environment.
Maintain a clean, organized, and welcoming waiting room and office space.
Order office supplies, clinical materials, and kitchen/breakroom necessities.
Manage vendor relationships for IT support, cleaning services, and maintenance.
Oversee daily billing workflows, including copay collection and invoice generation.
Manage front desk staff schedule and provide coverage as needed.
Ensure strict adherence to HIPAA regulations across all physical and digital files.

Qualifications & Skills

Experience: Minimum 2–3 years in medical/mental health administration or office management.
Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
Tech Skills: Proficiency with EHR systems (e.g., Intergy , Phreesia, ICANotes) and MS Office.
Communication: Exceptional verbal and written communication skills with strong emotional intelligence.
Organization: Excellent multi-tasking skills with high attention to detail in fast-paced environments.
Knowledge: Solid understanding of mental health terminology, insurance verification, and HIPAA compliance.

Pay: $20.00 - $25.00 per hour
