Guest Relations Coordinator

Location: Rotates between Pasadena and Arnold locations

Position Summary

The Guest Relations Coordinator is responsible for creating an exceptional patient experience from the first phone call through checkout. This role serves as the face of The Facebar by providing outstanding customer service, assisting patients with scheduling and treatment education, supporting providers, and ensuring the daily operations of the front office run efficiently. This position requires flexibility to work between both the Pasadena and Arnold locations based on business needs.

Essential Duties & Responsibilities

Patient Experience

Welcome every patient and guest with a warm, professional, and friendly demeanor.
Answer incoming phone calls promptly while delivering exceptional customer service.
Build lasting relationships with patients through personalized interactions.
Maintain patient confidentiality in accordance with HIPAA regulations.
Resolve patient concerns professionally and escalate issues when appropriate.

Scheduling & Administrative

Schedule, reschedule, and confirm appointments while maximizing provider schedules.
Maintain provider templates and assist with schedule optimization to minimize downtime.
Verify patient information, complete intake paperwork, and update medical records as needed.
Process patient check-in and check-out efficiently.
Collect payments, accurately balance daily transactions, and assist with end-of-day reconciliation.
Assist patients with financing options including Cherry, CareCredit, and other available payment programs.

Patient Education & Sales Support

Educate patients and prospective patients on aesthetic and wellness services, treatment plans, memberships, promotions, and available financing.
Confidently explain current monthly specials and recommend services that complement the patient's goals.
Promote The Facebar's membership programs and assist patients with enrollment.
Support practice growth by identifying opportunities to enhance the patient experience and encourage repeat visits.

Office Operations

Maintain cleanliness and organization of the reception area, retail displays, beverage station, and public spaces.
Ensure marketing materials, brochures, consent forms, and patient education materials remain fully stocked.
Monitor front office inventory and notify management of supply needs.
Assist with inventory counts and organization when requested.
Support marketing initiatives, in-office events, and community outreach activities as assigned.

Team Responsibilities

Collaborate effectively with providers, medical assistants, management, and marketing staff.
Maintain flexibility to work at both The Facebar locations as business needs require.
Cross-train in additional front office responsibilities to support overall practice operations.
Attend required staff meetings, trainings, and continuing education opportunities.
Perform additional duties as assigned to support the success of the practice.

Qualifications & Experience

Minimum of 2 years of medical front office or medical receptionist experience required.
Minimum of 2 years of customer service experience required.
Previous experience in aesthetics, dermatology, plastic surgery, wellness, or medical spa preferred.
Experience with electronic medical records and scheduling software preferred.
Strong computer skills including Microsoft Office and the ability to learn new software quickly.
Excellent verbal and written communication skills.
Exceptional organizational and multitasking abilities.
Ability to work independently while thriving in a fast-paced team environment.
Professional appearance and positive attitude.
Reliable transportation and the ability to rotate between Pasadena and Arnold locations.
