Job Overview

The Administrative Assistant is a key support role responsible for the efficient and effective daily operations of the Anah Shriners. This individual will provide crucial administrative, clerical, and logistical support to the Divan (leadership team) and Nobility (our fraternal members). The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and interpersonal skills. This role requires a proactive approach and a passion for supporting the organization's mission and its volunteers.

Key Responsibilities and Specific Duties

1. Volunteer and Member Support

Onboarding and Offboarding: Assist in the volunteer onboarding process, including scheduling orientation sessions, preparing new Noble and Lady packets, and ensuring all necessary paperwork is completed and filed.
Database Management: Maintain and update the volunteer database (WebFez) with accurate contact information, dues status and volunteer affiliations.
Communication: Serve as the primary point of contact for general public and volunteer inquiries via phone and email. Draft and send routine communications, such as thank-you notes, event reminders, and newsletters.

2. Office Administration and Operations

General Clerical Duties: Answer and direct phone calls, manage the general office email inbox, and handle incoming and outgoing mail and packages.
Record Keeping: Maintain and organize both physical and digital files, including volunteer records, financial documents, meeting minutes, and program reports.
Supply Management: Monitor and order office supplies, ensuring the office is well-stocked and operating smoothly within budget.
Calendar Management: Schedule meetings, appointments, and events for the Potentate and other Divan members. Book meeting rooms and conference calls as needed.
Data Entry: Perform a variety of data entry tasks to support fundraising, program, and administrative functions.

3. Event and Meeting Support

Meeting Preparation: Assist the Recorder as needed in preparing materials for Divan meetings and committee meetings.
Event Logistics: Provide administrative support for fundraising events, community outreach events, and volunteer training sessions, including managing RSVPs, preparing registration materials, and coordinating vendors as necessary.

4. Financial and Fundraising Support

Basic Financial Tasks: Process invoices, expense reports, and petty cash requests. Ensure all financial records are properly filed.
Donation Processing: Assist with processing and acknowledging donations, including preparing and sending thank-you letters and tax receipts.
Dues Support: Help with the administrative aspects of dues collection and tracking.

Performs other job-related duties as requested to support the mission of Anah Shriners.

Qualifications

Education: High school diploma or GED required. Associate's or Bachelor's degree in a related field is a plus.

Experience: Minimum of 2 years of administrative or office support experience, preferably within a non-profit or volunteer-driven organization.

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with a CRM or volunteer management software (e.g., Salesforce, DonorPerfect, or similar).
Excellent written and verbal communication skills.
Strong organizational and time-management abilities with a high level of attention to detail.
Ability to work independently and as part of a team.
Discretion and ability to handle confidential information with integrity.
A positive attitude and a passion for the organization's mission.

Working Conditions

This is an on-site position. There is no supervisory responsibility.
Physical requirements include sitting for extended periods, using a computer, and occasionally lifting up to 20 pounds.
The role may require occasional evening or weekend work, with prior notice, to provide job-related support for events or meetings following the guidelines of Anah Shriners’ policies & procedures.
