World Poetry Collective is an independent publishing and literary media company based in Kentucky. We work with poets and authors to develop, publish, promote, and distribute meaningful books.
We are building a small, capable headquarters team and are looking for an Executive Operations Manager who can help create structure, maintain high standards, and keep the office moving without constant founder involvement.
This is a hands-on role for someone who enjoys ownership, organization, leadership, and building systems inside a growing company.
Position Overview
The Executive Operations Manager will oversee the daily rhythm of the Kentucky headquarters.
You will coordinate projects, manage schedules, support publishing operations, organize podcast production, monitor inventory and fulfillment, and make sure important work is completed on time.
The goal of this position is simple:
Build an office that operates reliably, professionally, and efficiently whether the founder is present or traveling.
Responsibilities
- Create and manage the weekly office schedule
- Coordinate podcast recording dates, guests, and production needs
- Track books and client projects through the publishing process
- Maintain clear deadlines and follow up with team members
- Build and improve standard operating procedures
- Organize office systems, files, supplies, and inventory
- Oversee shipping and fulfillment workflows
- Prepare weekly performance and operations reports
- Identify problems before they become delays
- Help maintain a focused, professional, and creative work environment
- Communicate with the founder through scheduled updates and Zoom meetings
- Support hiring, training, and onboarding as the office grows

Preferred Experience
Experience in one or more of the following areas is helpful:
- Operations management
- Project management
- Creative agency operations
- Small business administration
- Executive assistance with project ownership
- Content or podcast production
- Publishing or editorial coordination
- Inventory and fulfillment
Publishing experience is not required. Strong judgment, initiative, organization, and reliability are more important.

Schedule and Compensation
- In-person position in Bardstown, Kentucky
- Full-time or structured part-time schedule may be considered
