Full Job Description

This is a full-time office-based administrative role requiring prior experience in a professional office environment. Production, manufacturing, warehouse, food service and clinical/medical backgrounds are not a match for this position.

Position Overview

We are seeking a highly organized and proactive Office & Administrative Coordinator to support the daily operations of CKCF. This position plays a vital role in ensuring smooth office functions, accurate bookkeeping, and high-quality administrative support for the President & CEO and the wider team. Responsibilities include financial processing, scheduling of our Community Hall, coordinating events, supporting scholarships and grants, and maintaining professional written correspondence. The successful candidate will be detail-oriented, people-focused, and adept at managing multiple priorities while advancing the mission of CKCF.

Key Responsibilities

Administrative & Executive Support

Provide direct administrative support to the President & CEO, including scheduling, correspondence, and preparation of reports.
Manage multiple calendars and coordinate board, committee, and staff meetings (including materials, agendas, minutes, and presentations).
Prepare professional correspondence, documents, and communications.
Assist with scholarships, grantmaking, and volunteer initiatives.
Schedule and coordinate the use of CKCF’s Community Hall for internal and external groups, ensuring facility readiness.

Financial & Donor Support

Maintain accurate bookkeeping, including accounts payable/receivable, reconciliations, and bank deposits.
Record, process, and acknowledge donor gifts and grant payments.
Generate donor tax receipts and thank-you letters promptly and accurately.
Track donor and grant activity in fund accounting software and CRM databases.
Prepare various reports for staff, donors, and nonprofit partners.

Office Operations & Guest Services

Greet guests, callers, and partners with professionalism and warmth, ensuring excellent first impressions and follow-through.
Coordinate office activities to ensure efficiency and compliance with organizational policies.
Maintain vendor relationships, monitor contracts, and ensure compliance documentation is up to date.
Proactively monitor office space for cleanliness, safety, and readiness for staff and visitors.
Ensure office equipment is maintained and coordinate IT support as needed.

Event Coordination

Assist with planning and execution of CKCF events, including donor gatherings, board meetings, and community initiatives.
Coordinate logistics, vendors, catering, and technology for events.
Provide on-site support to ensure events run smoothly and reflect CKCF’s mission and professionalism.

Team & Organizational Support

Collaborate with the President & CEO to improve office operations and systems.
Foster a positive, collaborative office culture.
Support and engage across departments to ensure smooth day-to-day operations.

Qualifications

Bachelor’s degree in business administration, nonprofit management, accounting, or related field preferred.
Minimum 3 years of experience in administrative support, office management, bookkeeping, or nonprofit operations.
Strong knowledge of fund accounting software and CRM/donor databases.
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Adobe Acrobat Pro.
Excellent organizational, problem-solving, and time management skills.
Strong written and verbal communication skills, with a high level of professionalism.
Ability to handle sensitive and confidential information with integrity.
Customer-service mindset with strong interpersonal skills.
Ability to work independently and collaboratively in a fast-paced environment.

Schedule & Compensation

Full-time, in-person position, Monday–Friday, with occasional evenings or weekends for events.
Salary commensurate with experience.
