Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly first impression at all times
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
Assist with data entry tasks using spreadsheets and productivity software such as Microsoft Office to support various departments
Schedule appointments, manage calendars, and coordinate meetings to optimize office productivity
Support office management tasks including ordering supplies, maintaining equipment, and overseeing general administrative duties

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Excellent computer literacy and technical proficiency in office management tools
Strong customer service skills with the ability to communicate clearly via phone and in person
Bilingual abilities are a plus for effective client communication in diverse environments
Experience with QuickBooks or similar accounting software is advantageous but not required
Demonstrated ability to prioritize tasks efficiently while managing multiple responsibilities in a fast-paced setting
