Position Summary
The Records Technician is responsible for maintaining accurate and complete patient medical records while supporting the daily operations of our busy nonprofit veterinary clinic. This position plays a critical role in ensuring medical documentation is entered accurately, patient records are properly maintained, and paperwork is organized and readily accessible.
In addition to medical records responsibilities, this team member assists with general clinic operations, housekeeping, laundry, stocking, and other support tasks that help keep the clinic running efficiently. Every member of our team is expected to pitch in wherever needed to support our patients, clients, staff, and volunteers.
Essential Duties and Responsibilities
Medical Records
- Enter patient information into the electronic medical record (EMR) system accurately and efficiently.
- Review medical records for completeness, consistency, and accuracy.
- Scan and upload consent forms, medical records, laboratory reports, and other documents into patient charts.
- Organize and maintain electronic and physical patient records.
- Correct documentation errors and maintain data integrity.
- File, retrieve, and organize medical records.
- Maintain confidentiality of all client and patient information.
Clinic Support
- Wash, dry, fold, and restock towels, blankets, and surgical laundry.
- Sweep, mop, sanitize, and maintain cleanliness throughout the clinic.
- Restock medical supplies, office supplies, and cleaning supplies.
- Assist with preparing surgery and exam areas.
- Empty trash and dispose of waste according to clinic protocols.
- Help maintain an organized, safe, and professional clinic environment.
- Assist other team members with general clinic duties as needed.
QualificationsRequired
- High school diploma or equivalent.
- Excellent attention to detail and organizational skills.
- Strong computer and keyboarding skills.
- Ability to accurately enter large amounts of data.
- Dependable with excellent attendance and punctuality.
- Ability to work independently and as part of a team.
- Commitment to providing outstanding service to clients and fellow team members.
Preferred
- Previous veterinary, animal shelter, or animal care experience.
- Experience working with electronic medical records or healthcare documentation.
- Previous administrative or medical records experience.
Work Environment
This position is based in a busy nonprofit veterinary clinic and requires working in an active animal care environment. Employees should be comfortable with regular exposure to:
- Dogs and cats of all sizes, breeds, and temperaments, including frightened or fractious animals.
- Animal urine, feces, vomit, blood, saliva, and other bodily fluids.
- Strong odors associated with veterinary medicine and animal care.
- Cleaning agents, disinfectants, and veterinary chemicals.
- Noise from barking dogs, meowing cats, and medical equipment.
This is a hands on position. Employees must be willing to jump in wherever needed and are expected to assist with cleaning, laundry, housekeeping, and other operational tasks that support the clinic's mission.
Physical Requirements
- Ability to stand and walk for extended periods.
- Frequent bending, reaching, kneeling, and lifting.
- Ability to lift and carry up to 40 pounds.
- Ability to safely work around animals in a veterinary setting.
Schedule
This is a part-time position with a regular schedule of approximately 31 hours per week.
Regular Hours
- Monday: 7:00 AM to 5:00 PM
- Tuesday: 9:00 AM to 2:00 PM
- Wednesday: 7:00 AM to 5:00 PM
- Friday: 7:00 AM to 5:00 PM
Employees are also required to work one Saturday clinic shift each month. Additional hours may occasionally be available to support special events, community clinics, or operational needs.
