Full Job Description

Intake Specialist

Location: Naperville, IL

Schedule: 100% Onsite | Monday–Friday, 8am – 5pm

Contract: 6-Month Contract with Potential for Extension or Conversion

Position Overview

We are seeking an organized, detail-oriented Intake Specialist to join a close-knit two-person team supporting a critical operational function within the bank. This role serves as the front line for receiving, reviewing, digitizing, and routing incoming legal and banking-related documentation. Success in this role comes from being methodical, adaptable, and able to manage a steady flow of incoming requests with accuracy and efficiency.

Key Responsibilities

· Receive, review, sort, and process incoming physical mail and legal documentation.

· Scan documents into the bank's digitized workflow system while ensuring accuracy and quality.

· Review incoming legal orders and related documentation, confirming proper ownership and routing.

· Apply established naming conventions and indexing standards to documents within Outlook and internal systems.

· Monitor and manage a shared team inbox, prioritizing incoming requests and documentation.

· Maintain organized records and ensure all documentation is processed in a timely manner.

· Work extensively with computers, multiple monitors, scanning equipment, and internal systems.

· Adjust priorities throughout the day based on incoming volume and business needs.

· Collaborate closely with team members to ensure workflow continuity and service-level expectations are met.

· Tax Levies

· Child Support Orders

· Garnishments

· Other banking and compliance-related documentation

Qualifications

· Previous administrative, office support, operations, banking, legal support, records management, or document processing experience preferred.

· Banking or legal industry experience is a plus but not required.

· Strong organizational skills and exceptional attention to detail.

· Ability to manage repetitive tasks while maintaining accuracy.

· Comfortable standing for periods of time while scanning and processing documents.

· Strong computer literacy, including Outlook, multiple monitor environments, and document management systems.

· Ability to problem solve independently and adapt to changing priorities.

· Excellent time management and multitasking skills.

Pay: $20.00 per hour
