We're looking for a detail-oriented and dependable Accounts Payable & Payroll Specialist to join our growing team and support our financial operations by ensuring accurate payroll processing, vendor payments, and administrative accounting functions.

Position Summary

As an Accounting & Payroll Specialist, you will be responsible for processing weekly payroll, managing accounts payable, maintaining accurate financial records, and supporting day-to-day accounting operations. This role requires exceptional attention to detail, confidentiality, and the ability to work efficiently in a fast-paced environment while collaborating with management, field employees, and vendors.

Responsibilities

Process weekly payroll accurately and on time for hourly and salaried employees
Review employee timecards for accuracy and resolve discrepancies with supervisors
Maintain payroll records while ensuring compliance with federal, state, and local payroll regulations
Process new hires, employee status changes, and terminations within payroll systems
Prepare and process vendor invoices for payment
Verify invoices against purchase orders, receipts, and supporting documentation
Maintain accurate accounts payable records and vendor files
Reconcile vendor statements and resolve payment discrepancies
Prepare and process check runs, ACH payments, and electronic payments
Assist with monthly credit card reconciliations and expense reporting
Maintain organized digital and physical accounting records
Assist with month-end closing activities, account reconciliations, and financial reporting
Respond to employee payroll questions and vendor inquiries professionally and promptly
Coordinate with Human Resources regarding payroll, benefits, and employee deductions
Assist with annual payroll reporting, W-2 preparation, and year-end accounting tasks
Support management with administrative and accounting projects as assigned
Maintain strict confidentiality regarding employee payroll and company financial information
Follow company policies and accounting best practices to ensure financial accuracy and compliance

Requirements

Previous experience in payroll processing, accounts payable, bookkeeping, or accounting required
Experience with accounting software such as QuickBooks, Sage, or similar ERP systems preferred
Strong understanding of payroll laws, tax withholdings, and payroll compliance
Proficiency in Microsoft Excel, Outlook, and Microsoft Office Suite
Excellent attention to detail and high level of accuracy
Strong organizational and time management skills
Ability to prioritize multiple tasks and meet deadlines
Professional communication and customer service skills
Ability to maintain confidentiality with sensitive financial and employee information
Dependable, self-motivated, and able to work independently as well as collaboratively
High school diploma or equivalent required; Associate's degree in Accounting, Finance, or related field preferred
Ability to pass a background check
