Position Summary: Family Service Society, Inc. is looking for an Administrative Assistant for our front desk on a daily basis and to perform a variety of administrative and clerical tasks. This position will be based mainly in our Bath office. However, travel to the Corning and/or Hornell offices may be requested on occasion.
As an Administrative Assistant, you will be the first point of contact for our organization. You will welcome clients and greet people who visit the office. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as an Administrative Assistant, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. This role may require working 2 evenings per week. Ultimately, an Administrative Assistant’s duties and responsibilities are to ensure the front desk welcomes clients positively, and executes all administrative tasks to the highest quality standards.
Position Responsibilities: In this dynamic role, you will be the first point of contact for clients, greeting and welcoming them as they arrive at the office, checking them in and out, and ensuring they feel valued and attended to. You will be responsible for answering, screening, and forwarding incoming phone calls, as well as making reminder calls to clients about upcoming appointments. Additionally, you'll provide basic and accurate information both in person and via phone or email.
Daily tasks will also include receiving, sorting, and distributing mail and deliveries, as well as ensuring office security by following safety protocols and managing access through the reception desk. You will maintain therapists' calendars, ensuring appointments are accurately scheduled, and handle various clerical tasks such as preparing paperwork, data entry, filing, photocopying, transcribing, and faxing.
Hours: Full-time, 35 hours per week, Monday through Thursday.

Education and Experience Requirements: The ideal candidate for this position will have proven work experience as a Receptionist, Front Office Representative, or in a similar role, with hands-on experience using office equipment such as fax machines and printers. A professional attitude and appearance are essential, as well as strong written and verbal communication skills to interact effectively with clients and colleagues. You should be resourceful and proactive when challenges arise, demonstrating excellent organizational abilities. The role requires someone who is adept at multitasking, managing time efficiently, and prioritizing tasks to keep the office running smoothly. A customer service-oriented attitude is key, as well as the ability to remain calm and helpful in busy situations. An Associate’s Degree in a related field will be considered an asset.
