Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support across departments. Your proactive approach and excellent communication skills will help foster an efficient, welcoming environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace culture.

Responsibilities

Manage front desk duties, including greeting visitors and phone calls with professionalism and courtesy
Perform data entry and maintain accurate records using spreadsheets and specialized software like QuickBooks
Coordinate calendar management, schedule appointments, and organize meetings for team members and executives
Handle clerical tasks such as filing, proofreading documents, and preparing Word processing materials with attention to detail
Provide customer service support by responding to inquiries via phone or email, ensuring positive client communication and support
Assist with office management duties including supply inventory, equipment maintenance, and general administrative organization
Assist with human resources tasks like scheduling employees for shifts and onboarding new employees.
Assist with event planning such as booking caterers, equipment rental vendors, and event hospitality and setup.
Support personal assistant responsibilities such as travel arrangements, deadline tracking, and task prioritization to enhance overall productivity

Experience

Proven office experience or administrative background demonstrating strong organizational skills and technical proficiency
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and productivity software for efficient document creation and data management
Experience with multi-line phone systems, calendar management, and customer service roles emphasizing excellent phone etiquette
Knowledge of QuickBooks or similar accounting software is a plus for handling invoicing or financial record keeping
Bilingual abilities are highly valued to facilitate effective communication with diverse clients and team members
Demonstrated ability to manage multiple tasks simultaneously while maintaining accuracy and professionalism in a fast-paced environment
Prior clerical or administrative experience that highlights strong typing skills, proofreading accuracy, and effective time management
