Job Overview

We are seeking a dynamic and detail-oriented Accounts Payable/Administrative Assistant to join our finance team. This role offers an exciting opportunity to contribute to the smooth operation of financial processes while providing essential administrative support. The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational skills, and possess a solid understanding of accounting principles and financial software systems. Your proactive approach will help ensure accurate financial transactions, compliance with regulatory standards, and efficient office operations.

Responsibilities

Process and verify invoices using various financial software such as Foundation, QuickBooks, Sage, and other accounting systems
Manage accounts payable functions including invoice entry, coding, approval workflows, and timely payments
Perform account reconciliations to ensure accuracy and compliance with GAAP (Generally Accepted Accounting Principles)
Maintain meticulous records of financial transactions while handling confidential information with integrity and discretion
Assist with accounts receivable management by tracking incoming payments and resolving discrepancies
Contribute to accounts payable automation initiatives to streamline processes and improve efficiency

Skills

Strong knowledge of accounts payable entry, and financial compliance standards
Proficiency in financial software including Foundation, QuickBooks, Sage, or similar systems
Excellent data entry skills with a focus on accuracy and attention to detail in spreadsheets and accounting records
Ability to perform Excel data analysis and create detailed reports for management review
Experience with accounts payable automation tools and invoice processing workflows
Familiarity with public accounting practices and technical accounting standards for precise account reconciliation
Effective communication skills for collaborating with internal teams and external vendors while maintaining confidentiality
