Full Job Description

Royal Pavement Solutions is seeking a friendly, organized, and detail-oriented Bookkeeper / Receptionist to support our daily bookkeeping, customer service, and office operations.

We're looking for someone who will become an important part of our office team and help keep our day-to-day financial records organized and accurate while delivering the exceptional customer experience our clients have come to expect. This position is primarily focused on bookkeeping, with reception, customer service, and administrative responsibilities as an important part of the role.

The ideal candidate takes pride in doing things correctly, enjoys working with numbers, and has a basic understanding of bookkeeping and accounting principles. We're also looking for someone who is pleasant and confident on the phone, works well with a team, stays organized, and understands that great customer service matters.

We're willing to train the right person on our systems and processes. Experience with QuickBooks Online and previous bookkeeping experience are preferred, but we're also open to someone early in their career who has the right foundation and is ready to learn.

Bookkeeping

Assist with Accounts Receivable, including customer invoicing, posting payments, maintaining customer accounts, and collection followup.
Assist with Accounts Payable by receiving vendor invoices, verifying billing information, entering bills, and maintaining organized vendor records.
Enter and maintain financial transactions accurately in QuickBooks Online.
Maintain accurate customer and vendor records and supporting financial documentation.
Assist with bank account and credit card reconciliations.
Match invoices, receipts, purchase documentation, and other financial records.
Support the Finance Manager with daily bookkeeping functions and administrative accounting tasks.
Identify discrepancies and communicate items requiring additional review.
Maintain the accuracy, organization, and confidentiality of company financial information.

Reception & Administrative Support

Answer incoming phone calls promptly and provide a friendly, professional experience to every caller.
Serve as a primary point of contact for customers, vendors, visitors, and general office communications.
Listen to customer needs, gather accurate information, and ensure inquiries are directed to the appropriate team member.
Greet and assist visitors while maintaining a professional and welcoming office environment.
Receive, sort, and distribute incoming mail, packages, and deliveries.
Purchase and maintain office supplies, food, beverages, and other office necessities.
Coordinate the ordering, organization, and distribution of company apparel and employee gear.
Assist with data entry, filing, scanning, and other administrative functions.
Assist with scheduling and coordination of crew travel, lodging, and transportation logistics.
Help maintain an organized, stocked, and professional office environment.
Provide administrative support to the office team as needed.

Required Qualifications

High school diploma or equivalent.
Basic understanding of bookkeeping and accounting principles.
Strong organizational skills with exceptional attention to detail.
Comfortable working with numbers and maintaining accurate financial records.
Excellent customer service and communication skills with a friendly, professional phone presence.
Comfortable answering incoming calls and assisting customers throughout the workday.
Ability to prioritize multiple responsibilities and adapt in a fastpaced office environment.
Ability to work independently while being a dependable member of a collaborative team.
Proficiency with Microsoft Office and general computer applications.

Preferred Qualifications

Associate's or Bachelor's degree in Accounting, Business Administration, Finance, or a related field.
Experience with QuickBooks Online.
Familiarity with Accounts Payable and Accounts Receivable.
Previous bookkeeping, accounting, receptionist, customer service, administrative, or internship experience.
Experience with customer invoicing, payment processing, and collection followup.
Experience managing a multiline phone system and customer inquiries.
Experience within the construction, contracting, or service industry.
