Full Job Description

Position Summary:
Grupo VRDG is seeking an Executive Administrator to lead office operations and coordinate the group's administrative management. This person will directly support and serve as the right hand of the CEO & Founder, ensuring efficient day-to-day operations, as well as managing relationships with local and international sponsors.

Key Responsibilities:

Executive Support

Manage and prioritize the CEO's calendar, proactively resolving scheduling conflicts
Draft, proofread, and manage correspondence on the CEO's behalf
Serve as a gatekeeper for incoming requests, escalating only what needs direct CEO attention
Prepare briefing documents, talking points, and meeting summaries

Travel & Logistics

Coordinate domestic and international travel, itineraries, and last-minute changes

Meetings & Events

Prepare agendas, materials, and follow-up action items for meetings
Support planning and execution of sporting events, concerts, and related activities

Sponsor & Stakeholder Relations

Manage relationships with multiple collaborators, local and international
Coordinate matters related to international relations in the context of events and sponsorships
Serve as liaison between collaborators, vendors, and internal team

Documentation & Compliance

Organize and maintain confidential files, contracts, and business documents
Track deadlines for permits, licenses, and regulatory filings across group entities

General

Direct and oversee the administrative operation of the office
Exercise discretion and confidentiality with sensitive business and personal information
Anticipate needs proactively and solve routine issues independently
Availability to work outside regular hours, including evenings and weekends, as needed

Requirements:

Bachelor's Degree in Business Administration, Office Administration, or related field
Prior experience in executive administration or office management
Strong knowledge of Office 365
Exceptional attention to detail and highly organized - this is a must
Knowledge of or experience in international relations
Experience coordinating sporting events, concerts, or similar activities
Excellent communication and negotiation skills with collaborators
Flexible schedule availability (evenings and weekends)
Fully Bilingual (Spanish/English)
Strong organizational skills and ability to manage multiple projects simultaneously
