Job Summary: The Assistant Office Manager supports the day-to-day operations of the medical practice by ensuring daily workflows, staffing coverage, and patient services are executed effectively. This role serves as a hands-on operational leader, providing frontline supervision, resolving routine issues in real time, and reinforcing operational standards. The Assistant Office Manager works closely with the Office Manager and staff to maintain operational continuity, a consistent patient experience, and adherence to established policies and procedures, and may assume operational responsibility in the absence of the Office Manager.

Required Experience:

Demonstrated experience supporting day-to-day office operations, including staff coverage, scheduling, patient flow, and issue resolution.

Experience supporting front desk, patient relations, scheduling, and financial workflows, with attention to accuracy, timeliness, and service standards.
Working knowledge of practice management systems and office technology, with the ability and willingness to learn additional systems.
Demonstrated ability to provide day-to-day guidance and support to frontline staff.
Strong interpersonal and communication skills with staff, patients, and physicians.
Strong organizational and problem-solving skills, with the ability to prioritize in a fast-paced environment.

Key Responsibilities:

Minimum of one (1) to two (2) years of experience in a medical practice, surgical practice, or comparable healthcare environment.

Support daily office operations by ensuring appropriate staffing coverage and smooth patient flow.
Support daily office readiness, including ensuring physician schedules and front desk workflows are prepared for the day.
Support appointment confirmations and reinforce communication of cancellation policies as needed.
Reinforce check-in/check-out protocols and confidentiality standards (HIPAA) to support consistent patient service delivery.
Support Nextech workflow adherence and assist with basic system questions, escalating issues to the Office Manager or appropriate partners as needed.
Provide hands-on coverage during call-outs, lunch breaks, and high-volume periods as needed.
Provide day-to-day guidance and support to office staff, reinforcing workflows, service standards, and onboarding expectations.
Support a safe, welcoming, and efficient office environment for patients and staff.
Assist with accurate entry of charges and payments and support end-of-day reconciliation processes.
Support petty cash handling with organizational policies and procedures.
Identify and address routine operational or patient service issues and escalate complex matters to the Office Manager in a timely manner.
Support coordination between patient relations, clinical teams, billing, med spa, and organizational partners as directed by the Office Manager.

In Partnership with Nursing Leadership

Support alignment between administrative operations and clinical workflows to ensure smooth day-to-day practice operations.
Support staffing coordination by communicating scheduling needs, coverage considerations, and operational constraints to Nursing leadership.
Support clinical readiness by coordinating administrative and non-clinical elements that impact patient flow and office operations, as directed by Nursing leadership.
Reinforce operational workflows that support clinical documentation and quality processes, escalating gaps or concerns to Nursing leadership as appropriate.
Support compliance efforts through administrative coordination, documentation support, and timely escalation of issues to Nursing leadership.
Support clinical quality initiatives through administrative coordination and follow-up, as directed by Nursing leadership.

Education Requirements:

Bachelor’s Degree is required.
