Overview

We are seeking a dynamic and organized Receptionist/Office Assistant to join our team! This vital role combines front desk responsibilities with comprehensive office support, ensuring smooth daily operations and excellent customer service. The ideal candidate will demonstrate exceptional organizational skills, and possess a friendly, professional demeanor. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a welcoming office atmosphere.

Responsibilities

GENERAL DESCRIPTION:

The Administration Division oversees the organization’s various divisions, their programs, and assures accomplishment of its annual scope of services and compliance with all federal, state, and local requirements. The Division allows efficient support of these and other facets of the organization in its objective to improve the health, safety, and general welfare of the citizens in the region.

Performs routine receptionist and entry-level administrative support work. Work involves placing, answering, and transferring calls. Work also involves playing a key role in ensuring phone calls and visitors are greeted in a professional manner and are directed appropriately to staff within the organization. Administrative work involves providing internal administrative support including editing reports and documents with accuracy. Works under close supervision with minimal latitude for the use of initiative and independent judgment.

EXAMPLES OF WORK PERFORMED:

· Directs calls and or takes messages and directs them to appropriate staff or divisions.

· Greets visitors, may answer general questions, directs clients/visitors to proper staff, and notifies staff of their arrival.

· Provides administrative and technical assistance to the Executive Assistant.

· May assist other staff as directed by Administration.

· Assists with updating and maintaining the organization contact list and database.

· Assists with preparation for Executive Committee meetings and compilation of draft Executive Committee Minutes.

· May assist with miscellaneous meetings and seminars as needed.

· Receives and logs shipments/supplies and notifies appropriate staff.

· Distributes mail to appropriate divisions.

· Logs cash receipts and delivers them to the Finance Division.

· Maintains purchase order forms and logs of purchase orders.

· Assists with copier/printer/postage machines as needed.

· Maintains inventory of office supplies.

· Assists in ordering supplies for building and grounds.

· Observes and maintains front desk security protocol as instructed.

· Performs other work as assigned.

GENERAL QUALIFICATION GUIDELINES:

Education and Experience:

· Experience in office practices and administrative support procedures, including clerical and technical duties.

· Graduation from a standard senior high school or equivalent is required. An associate degree in Office Administration or a related field is preferred.

· Relevant education and experience may be substituted for one another.

· An equivalent combination of education and experience sufficient to perform the essential duties of the job such as those listed above.

Knowledge, Skills and Abilities:

· Knowledge of office practices and administrative support procedures.

· Proficient in Microsoft products including Word, Excel, and Outlook.

· Skilled in the use of standard office equipment and software.

· Must exhibit effective oral and written communication and strong customer service skills.

· Ability to handle high-level administrative issues.

· Must have a positive, friendly, and professional demeanor.

Pay: $29,781.00 - $40,859.00 per year
