Full Job Description

Overview
We are seeking a dynamic and highly organized Transportation Administrative Coordinator to join our team! This vital role offers the opportunity to support daily office operations, and enhance efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. In this position, you will serve as an assistant to the Director of Transportation. This paid position is perfect for someone eager to grow their career in transportation coordination and administrative support.

Duties

Coordinate and maintain DOT compliance records, including driver and vehicle files, maintenance records, and regulatory documentation.
Create and maintain truck maintenance files and ensure all repair receipts and supporting documentation are properly organized and filed.
Track and manage billing logs to ensure timely and accurate invoicing.
Process job number requests and maintain accurate job documentation.
Coordinate all product sales jobs, including creating job tickets, scheduling deliveries, assigning drivers, and processing final billing.
Assist with obtaining and maintaining waste hauling permits and other transportation-related permits as required.
Assist with preparing quotes for small projects and service requests.
Coordinate the ordering of parts for fleet maintenance, equipment, and office supplies.
Assist with establishing new vendor and supplier accounts, ensuring all required documentation is completed and maintained.
Organize and maintain project files, contracts, permits, and supporting documentation.
Process customer and salesperson paperwork, applications, and related administrative documentation.
Work closely with operations, dispatch, mechanics, and management to ensure efficient coordination of daily trucking activities.
Monitor deadlines for permits, registrations, inspections, and compliance documentation.
Perform other transportation and administrative duties as assigned.

Skills

Experience in trucking, transportation, logistics, fleet administration, construction, environmental services, or regulatory compliance.
Strong computer proficiency with Microsoft Office (Excel, Word, Outlook, and PowerPoint) and Google Workspace.
Exceptional organizational and multitasking skills with the ability to manage multiple projects and regulatory deadlines simultaneously.
Strong attention to detail with the ability to maintain accurate records and ensure documentation compliance.
Experience managing electronic and paper documentation, including permits, maintenance records, invoices, and project files.
Ability to interpret and follow company policies, regulatory requirements, and standard operating procedures.
Excellent written and verbal communication skills with the ability to work effectively across multiple departments.
Strong problem-solving and critical-thinking skills with the ability to identify issues and follow through to resolution.
Ability to prioritize competing tasks in a fast-paced transportation or operations environment.
Proficient data entry skills with a high level of accuracy and attention to detail.
Ability to maintain confidentiality while handling sensitive business and personnel information.
Self-motivated, dependable, and capable of working independently with minimal supervision.
