Full Job Description

Join Ulliman Schutte Construction! A national leader in heavy civil construction, building critical water and wastewater infrastructure that protects communities and the environment.

Ulliman Schutte Construction is actively seeking a friendly, organized, and dependable Administrative Assistant to join our team in our corporate headquarters. This is a full-time, on-site position in our Miamisburg, OH office, Monday – Friday, 8:00 AM – 5:00 PM. This person will be the first point of contact for visitors and callers while providing hands-on administrative support across the organization.

Administrative Assistant Responsibilities:

Front Desk & Reception

Provide consistent front-desk coverage during business hours: greeting visitors, clients, and vendors warmly and professionally
Answer, screen, and route incoming phone calls; take accurate messages and respond to routine inquiries
Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and packages and coordinate courier/delivery services
Keep the reception area and conference rooms tidy and presentation-ready

Office Operations

Monitor and maintain office supply inventory; place orders and coordinate with vendors
Order and set up group lunches, catering, and refreshments for meetings and events
Assist with meeting logistics

Administrative Support

Arrange travel for team members, including flights, hotels, and ground transportation
Draft, edit, proofread, and format documents, reports, and correspondence
Prepare copies, scans, and printed materials; maintain organized paper and electronic filing systems
Assist with data entry, expense reports, and other administrative projects as assigned

Qualifications:

High school diploma or equivalent required; associate degree a plus
2+ years of experience in a business office environment, receptionist, administrative, customer service or other support role preferred
Proficiency with Microsoft Office and Adobe (or another PDF platform)
Excellent phone etiquette, communication, and interpersonal skills
Strong organizational skills, attention to detail and an ability to prioritize tasks
Comfortable operating a multi-line phone system and standard office equipment
Professional and positive demeanor
Consistent, reliable attendance and punctuality; this position provides in-person coverage and depends on being present during business hours
Enjoys greeting and assisting visitors and staff while staying accurate and productive on independent projects
Committed to maintaining ethical standards and confidentiality
