Administrative Assistant 3

Location: Vancouver, WA
Pay Rate: $35–$39 per hour

Job Overview:

We are seeking an experienced Administrative Assistant 3 to provide high-level administrative and operational support to management and staff within a large, fast-paced organization.

This role requires someone who is highly organized, proactive, and comfortable managing competing priorities. The ideal candidate will have strong experience supporting managers and teams, coordinating calendars and meetings, preparing professional documents and presentations, tracking action items, coordinating travel, maintaining records, and supporting a variety of personnel and administrative processes.

Key Responsibilities:

Provide confidential administrative and clerical support to managers and staff.
Manage and coordinate complex calendars, appointments, meetings, conferences, interviews, and training.
Prepare, edit, proofread, and format correspondence, reports, presentations, spreadsheets, and other documents.
Create and maintain Excel spreadsheets, PowerPoint presentations, and SharePoint sites.
Track action items, deadlines, projects, training requirements, and other time-sensitive activities.
Attend meetings, take minutes, and distribute notes and follow-up materials.
Coordinate domestic and occasional international travel, including reservations, travel authorizations, and expense documentation.
Assist with onboarding activities, personnel actions, employee recognition, training, performance documentation, and other workforce-related processes.
Support timekeeping, leave tracking, and review of contractor timesheets.
Coordinate with HR, IT, facilities, security, safety, and other internal service teams.
Maintain organizational records, document repositories, and administrative tracking systems.
Support office operations, equipment requests, supply management, badge coordination, and other administrative needs.
Organize meetings and events and assist with virtual meeting platforms such as Microsoft Teams and WebEx.
Serve as a liaison between management, staff, and other internal organizations.

Qualifications:

Significant administrative support experience, preferably supporting management or senior-level leaders.
Strong calendar management and meeting coordination experience.
Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Experience working with SharePoint and maintaining document repositories, tracking systems, or collaborative workspaces.
Experience coordinating travel and managing related documentation and reimbursements.
Strong written communication, proofreading, and document preparation skills.
Experience tracking deadlines, action items, projects, or time-sensitive deliverables.
Ability to handle confidential information with discretion and professionalism.
Strong organizational skills with the ability to manage multiple priorities independently.
Experience with timekeeping, onboarding, personnel processes, records management, or similar administrative functions is highly preferred.
Experience supporting a government, utility, engineering, or other large, complex organization is a plus.

Pay: $35.00 - $39.00 per hour
