Parkinson’s disease is the second most common neurological condition and the fastest growing. As the number of clients seeking support increases each month, your professionalism and attention to detail will directly influence the quality of care and connection our community receives. Your role ensures the organization functions efficiently, allowing the team to focus on delivering exceptional support to those living with Parkinson’s.

ABOUT THE POSITION
This is a full-time position based out of our office in Beaverton, OR. The Office Manager plays a critical role in supporting the daily operations and mission of PRO. This position represents PRO and its values when interacting with clients, community partners, medical professionals, volunteers, and donors. A genuine interest in PRO’s mission is essential and demonstrated through professional, compassionate, and responsive engagement with people living with Parkinson’s disease and their care partners.
In this role, you’ll be a central point of connection for the organization, providing warm and enthusiastic customer service as you answer the resource line and respond to inquiries about our programs and services. Your days will blend routine administrative responsibilities with the unexpected needs that arise in a busy office, requiring strong organization, flexibility, and a steady, professional presence. You’ll help keep daily operations running smoothly, anticipate the needs of your colleagues, and contribute to a collaborative, high-performing team dedicated to supporting individuals and families affected by Parkinson’s.
The Office Manager provides executive, development, program, and client support while overseeing core office management, volunteer coordination, and basic bookkeeping and HR functions. This role handles highly sensitive information, confidentially is of the upmost importance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support
· Provide administrative and secretarial support to the Executive Director
· Assist with board meeting preparations
· Coordinate scheduling, meeting logistics, and follow-up tasks
· Support organizational planning and internal communications
· Attend and staff special events as requested by the Executive Director
Development Support
· Prepare and send timely donation acknowledgments and thank-you correspondence
· Assist with donor data entry, tracking, and record maintenance
· Support fundraising campaigns, events, and donor communications in our database
· Maintain confidentiality and accuracy of donor information
Client Engagement & Support
· Serve as a first point of contact for clients contacting the office
· Provide information and referral assistance, including disease-specific information, community referrals, and confidential social support
· Register clients for programs, events, workshops, and classes
· Assist program staff with workshops and classes, including room setup and material distribution
· Engage with clients in a compassionate, professional, and respectful manner
Office Management
· Manage office materials, supplies, and equipment
· Carry out vendor management plans that support organizational goals
· Oversee printing, postage, and mailing needs
· Maintain organized filing systems and support data hygiene across databases
· Perform general reception duties, including welcoming office visitors
· Manage all aspects of the Blue Bag Program, including coordination with field staff
Volunteer Support
· Serve as a point of contact for volunteers
· Assist with volunteer onboarding, scheduling, and communication
· Support volunteer engagement at programs and special events
· Maintain volunteer records and documentation
Administrative Support
· Perform routine bookkeeping tasks, including credit card deposits, data entry, and related filing
· Support basic HR administrative functions such as employee documentation, time tracking, and record maintenance
· Ensure compliance with internal policies and confidentiality standards
Other Duties
· Perform additional duties as assigned to support organizational needs
· Assist with special projects and cross-departmental initiatives
HOURS, TRAVEL, AND PHYSICAL DEMANDS:
This position is based in Beaverton, OR. Work is performed in an open office environment with frequent interruptions and long periods at a desk. Employees should expect periodic local travel, with occasional evening or weekend hours. Employees must provide own reliable transportation and insurance for local travel. QUALIFICATIONS
With 2–5 years of administrative experience, the ideal candidate brings proven office expertise supported by strong organizational skills and exceptional attention to detail. They are proficient in the Microsoft Office Suite—including Word & Excel—as well as Outlook Workspace applications. Their background includes familiarity with multi‑line phone systems, front desk procedures, and general clerical tasks such as filing, data entry, and managing professional correspondence with excellent typing speed and strong proofreading abilities. Experience in customer service or support roles is essential, demonstrating polished phone etiquette and strong interpersonal communication. The candidate should also possess knowledge of office management practices, including calendar coordination, time management, and basic bookkeeping. Because this role involves interacting with clients navigating the challenges of Parkinson’s disease, the ability to handle sensitive and emotional calls with empathy and professionalism is especially important.

WORK ENVIRONMENT
This position is based in our Beaverton location with occasional weekend or evening work. Work is generally performed in an open office work setting with extended periods of sitting. Some local (Oregon and SW Washington) travel will be required using own transportation. All candidates must be able to provide documentation of positive COVID-19 vaccination status prior to employment.
