Job Description: Material Tracking and Inventory Database Specialist

Company Description

Primaira LLC is a fast-paced product development and manufacturing company providing services to clients in the consumer, appliance, and robotics industries. We are looking for a highly skilled database and spreadsheet specialist to design, build, and manage our operational data infrastructure. This infrastructure includes parts tracking for early manufacturing builds and inventory management for full scale production.

Our clients range from global product companies to local start-ups. Our work is varied and fast paced. The Tracking and Database Specialist will support the transition of products from engineering to manufacturing in our Product Launch Center. Our Product Launch Center is a flexible manufacturing space to establish production process and product quality before transferring product to high volume manufacturing. We are looking for experienced, dynamic, skilled staff who can work independently and clearly communicate with managers, co-workers, and clients.

Position Summary

We are seeking a highly organized, detail-oriented Database and Spreadsheet Specialist to support our electro-mechanical equipment manufacturing operations. Candidate must be proficient with excel or database management software and be able to track parts and purchases for manufacturing builds. The successful candidate will be responsible for

Designing, building, and implementing a custom parts tracking system for streamlined ordering and procurement.
Developing and maintaining a robust inventory management database (e.g., SQL, Microsoft Access, or equivalent) tailored to manufacturing workflows.
Creating advanced Excel models utilizing Power Query, VBA macros, and complex formulas to handle rapid data analysis and QA reporting, including integration of QA metrics into the database to track defects, part revisions, and compliance standards.

The ideal candidate will work with Finance, Quality Assurance and Operations to ensure the availability and quality of parts for manufacturing runs.

This position requires excellent analytical skills, strong attention to detail, and experience working with inventory management software and manufacturing environments.

Additional Responsibilities

Inventory Management

Maintain accurate inventory records using spreadsheets, database software or inventory management software.
Monitor inventory levels and recommend replenishment based on demand forecasts and production schedules.
Coordinate with production and engineering to ensure material availability.
Resolve supplier issues involving delivery delays, shortages, or quality concerns.

Quality Assurance Support

Perform or support incoming inspection of purchased materials and commercial off-the-shelf components.
Review Certificates of Conformance (CoC), inspection reports, and supplier documentation.
Coordinate disposition of nonconforming materials with suppliers, engineering, and quality personnel.
Assist in maintaining inspection records and supplier quality documentation.

Purchasing & Strategic Sourcing

Source and qualify suppliers for electro-mechanical, electrical, mechanical, pneumatic, and commercial off-the-shelf (COTS) components.
Obtain quotations and Negotiate pricing, delivery schedules, and purchasing terms.
Identify alternate sources for critical components to reduce supply chain risk.

Cross-Functional Collaboration

Work closely with Engineering, Manufacturing, Finance and Quality Assurance.
Assist with Bills of Material (BOM) accuracy and material planning.

Required Qualifications

Proficiency in database creation and advanced spreadsheet design (Excel/Google Sheets, macros, XLOOKUP, Pivot Tables).
Bachelor's degree in Business, Industrial Engineering, Manufacturing, or a related field.
3–5 years of database experience in a manufacturing environment.
Experience with inventory management and inventory control.
Excellent organizational and communication skills.
