Overview

We are seeking a dynamic and personable Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth operations at the front desk. Your energetic approach and excellent communication skills will help create a positive environment while managing administrative tasks efficiently. This paid position offers an exciting opportunity to develop your office management skills and provide outstanding customer support in a fast-paced setting.

Duties

Greet visitors and clients warmly, providing professional and friendly assistance upon arrival
Manage multi-line phone systems to handle inquiries, direct calls, and relay messages accurately
Maintain organized front desk area, including filing, data entry, and managing office supplies
Utilize productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools for various administrative tasks
Schedule appointments and manage calendar systems to ensure efficient time management for staff and clients
Assist with clerical duties including proofreading documents, maintaining client records, and updating databases like QuickBooks or bookkeeping software
Provide exceptional customer service by addressing questions promptly and supporting client communication efforts

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite, Google Workspace, spreadsheets, and data entry software
Strong organizational skills with the ability to multitask effectively in a busy environment
Exceptional phone etiquette and communication skills for handling inquiries via phone or in person
Bilingual abilities are highly desirable to serve diverse clientele effectively
Experience with multi-line phone systems, front desk operations, and customer support is preferred
Knowledge of QuickBooks or bookkeeping software is a plus; familiarity with medical or dental receptionist duties is advantageous
Demonstrated ability to manage calendars, perform data entry accurately, proofread documents meticulously, and maintain confidentiality
