HOURS: 28 hours per week; must be able to provide an open/consistent M-F schedule between the hours of 12:00 to 6:00pm; must attend annual fundraiser on a Saturday in October
PRIMARY FUNCTION:
The Boys & Girls Club of Pasadena is a dynamic, innovative, youth-serving organization that is committed to helping all children and youth build positive, lifelong memories, achieve their greatest potential, and inspire future generations. The Site Coordinator's primary responsibility is to ensure every Club member has a safe, first-class after-school experience. This is done by acting as a positive, engaging adult role model, people leader, coach, and mentor. The Site Coordinator must have a genuine interest in the growth, development, and provision of a safe and nurturing environment for the children, youth, and staff they encounter, inspire, encourage, and impact.
Serving in a key Club leadership role, the Site Coordinator oversees an on-campus Clubhouse site, including all operations and programs, with primary concern for program implementation; staff development; supervision of assigned staff; facilities; and budget management.

KEY ROLES (Essential Job Responsibilities):
Strategic Planning
- Support the advancement and implementation of BGCP’s Strategic Plan goals
- Support the Site Supervisor with the planning, development, implementation, and evaluation of Site overall programs, services and activities to ensure they meet BGCP strategic objectives and member needs and interests
- Compile regular reports reflecting all activities, attendance, and participation
- Actively participate in the collection of site data
- Incorporate analysis of NYOI and other data results into program planning and team training opportunities
Commitment to Safety
- Contribute to environment of unwavering commitment to safety through the learning and implementation and monitoring of all safety-related best practices, policies, and procedures
- Promote accountability to safety through consistent observation, adherence to all safety rules and practices and proactive communication among members, parents, peers, and leadership
- Obtain and maintain Mandated Reporter training and complete annual Child Abuse Prevention training
- Support with all Emergency Preparedness protocols including drills and communication practices
Leadership
- Oversee the implementation and delivery of operations, programs, services, and activities that prepare youth for success and create an outcome-driven Club Experience that facilitates achievement of Club youth development outcomes
- Plan, schedule, and ensure the implementation of quality programs and activities that embody the 5 Key Elements of Positive Youth Development:

- Supervise and evaluate all Site staff, ensuring productive and effective performance
- Support the preparation for and facilitation of regular Site staff meetings that provide training, reflection, and action planning with support to the Site Supervisor
- Participate in regular one-on-one staff coaching
- Provide career development opportunities for Site staff and volunteers
- Create a system in which employees can perform at their best by creating clear goals and expectations and conducting annual performance evaluations
- Communicate, interpret, and enforce BGCP policies and procedures
- Assist with hiring and dismissing personnel, as needed
Operations
- Plan and oversee the administration of Site programs and activities during daily operations
- Devise and develop strategies to promote and stimulate membership in the Club as well as participate in specific activities and programs
- Demonstrate leadership to ensure proper conduct, safety, and development of all staff and members
Manage daily operations of the Site including staff scheduling, troubleshooting, delivery of programs and physical space allotments, discipline, and other issues that arise
- Ensure services are offered in accordance with safety policies and procedures
- With guidance from the Site Supervisor, ensure proper program observations and monitoring happen regularly
- Ensure compliance of staff for the administration of restricted programs and completion of required reports
- Perform daily attendance responsibilities with regard to collecting, reviewing and management of attendance sheets
Resource Management
- Participate in Site budget development process
- Support the management of site expenditures within the approved budget
- Work closely with school administration to identify needed repairs and maintenance of the spaces used at the Site
Partnership Development
- Develop collaborative partnerships with OCS-South Admin, faculty, staff, members, parents, families, and community organizations
- Maintain close contact with school personnel, parents, and other out-of-school service providers to receive/provide information, and create and strengthen relationships and partnerships
Marketing and Public Relations
- Participate in activities to maintain good public relations for Club programs, services and activities
- Increase visibility of Site programs via posting of daily schedule and announcements of upcoming events
- Provide accurate and consistent weekly communications for parents/caregivers
RELATIONSHIPS:
- Maintain close contact with assigned staff to provide technical assistance in matters of programming and operations
- Maintain close contact with volunteers, members, and parents
- Establish and maintain close relationships with school administrators to enhance support of the program
- Maintain contact as needed with community partner agencies
SKILLS/KNOWLEDGE PREFERRED:
- High School diploma required; bachelor’s degree from an accredited institution of higher education preferred
- Minimum of five years of work experience in a Boys & Girls Club or similar organization planning and supervising activities, and delivering operations management, based on the developmental needs of young people, or equivalent experience
- Commitment to the mission, objectives, policies, programs, and procedures of the Boys & Girls Club of Pasadena
- Knowledge of and experience in delivering educational programs to youth
- Have a drive to work with a diverse group of students from different socio-economic backgrounds and levels of educational preparedness
- Exhibit the characteristics of strong leadership, patience, effective communication, and a consistent desire to learn and execute new programs
- Good verbal and written communication skills
- Ability to establish and maintain effective working relationships with Club members, Club staff, Board members, volunteers, community groups, and other related agencies
- Ability to project a positive image of Boys & Girls Club of Pasadena, and interact professionally with members, parents, volunteers, and others; including maintaining confidentiality as needed
- CPR, AED, and First Aid certifications (Club will supply)
- Ability to speak and write Standard English
- Time management, planning, and organization skills
- Must pass Live Scan Fingerprinting and BGCA background check
- Must have transportation to and from work
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
- Must be able to sit, stand, bend, stoop, lift and walk 75% of the time on the job
- Must be able to work in a loud environment with many children in motion
- Frequently communicate with children and parents who have inquiries about the Boys & Girls Club of Pasadena. Must be able to exchange accurate information in these situations.
- Must operate a computer and other office productivity machinery, such as a copy machine and printer
- Occasionally ascend/descend a ladder
- Occasionally moves equipment weighing up to 50 pounds
