Full Job Description

Job Overview
The HR Coordinator / Administration Assistant provides day-to-day administrative and coordination support across the Human Resources function, including global immigration, HR compliance, onboarding and offboarding, recruitment support, and general HR administration. This role acts as a key point of contact for employees and cross-functional partners, ensuring HR processes are executed accurately, on time, and in compliance with company policy and applicable regulations.

Responsibilities

(Responsibilities are representative but not all-inclusive)

Global Immigration

Visa Tracking: Create and maintain visa tracking reports, and track visa expiration dates, issuing alerts to applicable groups for further action.
Employee Communication: Prepare and send communications to employees related to immigration matters, addressing employee questions and providing guidance as needed.
Documentation: Prepare supporting documentation for immigration efforts and complete employer forms for immigration matters.

HR Compliance

I-9 Compliance: Administer I-9 completion, E-Verification/re-verification, and I-9 validation; support internal audits and reporting.
Vendor Compliance: Administer and track expiration of HR vendor compliance and due diligence requirements.
Training Campaigns: Manage hotline awareness training campaigns.

Onboarding / Offboarding

Documentation: Prepare, deliver, follow up on, and review onboarding documentation for expatriate, North American, and other location employees.
Workflow Ownership: Own onboarding/offboarding workflows across functions (IT, Finance, etc.), including system access, removals, and training coordination.
Mass Onboarding & Relocation: Provide on-site presence at mass onboarding events and support relocation as needed.
Systems & Screening: Perform ADP and in-house systems employee data entry, and coordinate pre-employment screenings and background checks.
Cross-Functional Guidance: Provide guidance, support, and training to non-HR professionals supporting HR initiatives at job sites.

Recruitment

Coordination: Coordinate job postings and recruitment activities, screen resumes, and schedule interviews.
Partnership: Partner with hiring managers on staffing needs and hiring progress.

HR Administration

Systems & Records: Perform ADP data entry and entry verification; assist in maintaining employee files and records so they remain current.
HRMS Documentation: Maintain, monitor, and distribute HR Management System documentation; audit HR documentation for accuracy and completeness.
Reporting: Prepare ad-hoc reporting for multiple internal groups.
Employee Support: Serve as the main HR contact for ticketing and respond to employee ad-hoc requests.
Payroll Liaison: Liaise with the Payroll and Benefits Specialist to ensure alignment and timely processing.
Cross-Border Assignments: Assist with temporary cross-border assignments, coordinating with the Benefits Specialist to ensure coverage.
Attendance Tracking: Own overall Personal Income Tax (PIT) tracking and master attendance tracking.

Skills and Experience Required

Education & Certifications

Degree: Diploma or degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
Certification: PHR (Professional in Human Resources) or SHRM-CP designation, or progress toward one, is an asset.

Experience

Core Experience: 3+ years of experience in an HR administration, coordination, or generalist support role.
Immigration & Compliance: Prior exposure to global immigration processes and I-9/HR compliance requirements is preferred.
Systems: Hands-on experience with ADP Workforce Now (or similar HRIS/payroll platforms) is an asset.
Technical Skills: Proficiency in Microsoft Office, particularly Excel and Outlook.

Strict adherence to confidentiality and the ability to exercise sound judgment and discretion with sensitive employee information.
Excellent written and verbal communication skills, with a strong customer-service orientation toward employees and hiring managers.
Strong attention to detail and problem-solving skills, with a proactive approach to identifying and resolving issues.
Ability to work collaboratively across HR, Payroll, IT, and Finance functions in a fast-paced environment.
