Overview

Join our dynamic team as a Front Desk Agent, where your energy and organizational skills will create a welcoming and efficient environment for all visitors and staff. In this vital role, you will serve as the first point of contact, ensuring smooth operations at the front desk while delivering exceptional customer service. Your technical proficiency, multitasking abilities, and friendly demeanor will help foster positive interactions and streamline office processes. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced setting.

Responsibilities

Greet visitors, clients, and staff with professionalism and warmth, providing excellent customer support.
Manage multi-line phone systems to handle inquiries, direct calls accurately, and relay messages promptly.
Maintain organized front desk operations, including scheduling appointments and managing calendars.
Perform data entry tasks using spreadsheets, word processing, and productivity software to update records efficiently.
Utilize office management skills to handle incoming correspondence, maintain supplies, and ensure the reception area remains welcoming.
Assist with clerical duties such as proofreading documents, managing office files, and supporting administrative projects.
Demonstrate strong phone etiquette and clear communication skills to foster positive client interactions and support team needs.

Experience

Prior office experience or administrative support roles that showcase organizational skills and customer service excellence.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with computer literacy and technical proficiency.
Experience with data entry, spreadsheet management, and document proofreading to ensure accuracy and professionalism.
Familiarity with multi-line phone systems and office management tools such as calendar management software.
Bilingual abilities are a plus for effective client communication in diverse environments.
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting.
Previous personal assistant or front desk experience that highlights excellent phone communication, organization, and professionalism.
