About Us

New York Multicultural Counseling (NYMC) is a group therapy practice based in Manhasset, NY, providing individual therapy for adults and adolescents across New York State. We specialize in culturally responsive, trauma-informed care for AMEMSA (Arab, Middle Eastern, Muslim, and South Asian) and BIPOC (Black, Indigenous, People of Color) communities. We offer both virtual sessions and in-person sessions at our Manhasset office, with free on-site parking and easy transit access.

We verify insurance benefits before every client's first session and provide transparent, straightforward information about cost, so clients never face surprise bills.

Job Summary

We are looking for a detail-oriented, dependable Administrative Coordinator to manage the daily operations that keep our practice running. This is an hourly, W-2 role with a growing practice. It begins part-time and is expected to move to full-time as we grow. We do not have a fixed date for that change. It will follow the practice's needs and your availability.

You will be the first point of contact for prospective and current clients, and the person responsible for making sure insurance verification, scheduling, and intake run smoothly.

Our operations run on documented protocols and SOPs, not memory or improvisation. Keeping those manuals accurate and current is not a side task, it is part of the job. You will follow our written procedures exactly as documented, flag gaps or outdated steps as you find them, and update the manuals yourself as processes change. You will also set and maintain your own reminders for weekly, monthly, quarterly, and yearly recurring tasks, and be accountable for completing them on schedule without being prompted.

This role has fixed blocks you need to be available for, because that is when our clients need us most:

Monday, Wednesday, and Friday evenings, to reach and respond to clients
Tuesday and Thursday mornings and afternoons

Hours may vary week to week, and there will be times you need to swap a weekday for a weekend. If a set evening schedule and some week-to-week flexibility do not work for your life right now, this is not the right role for you, and that is okay.

Who this role is good for

This is a strong fit if you want flexible, hourly work that can grow into full-time with the practice. That often looks like a graduate student, a parent returning to the workforce, or someone building toward a career in mental health who wants close exposure to how a clinical practice runs. You are organized, you like clear systems, and you follow through on tasks without someone chasing you.

Responsibilities

Answer incoming calls and monitor text messages through our secure communications platform (Spruce Health); route messages to the appropriate staff member and set follow-up reminders
Manage the practice email inbox; keep it organized and answered by the end of each shift
Handle new client inquiries from first contact through booked consultation, following our written New Client Inquiry Protocol, including live screening calls and portal setup in our EHR (Sessions Health)
Collect and verify client insurance information before the first session; follow up with clients on verification results
Schedule appointments and enforce our 24-hour cancellation policy in Sessions Health
Support intake coordination as our team of clinical interns grows
Monitor and respond to referrals through our Psychology Today profile
Review and submit insurance claims in Sessions Health
Support onboarding logistics for new clinicians and interns as needed
Keep practice manuals and SOPs accurate and current; update documentation as processes change and flag outdated or missing steps
Set and maintain reminders for recurring weekly, monthly, quarterly, and yearly tasks, and complete them on schedule without prompting

Qualifications

Experience in client care, customer service, and/or administrative support, ideally in a medical or mental health office
Comfortable conducting phone-based consultations and outbound follow-up calls with prospective clients
Strong organizational skills; able to manage multiple client files and deadlines at once
Proficient with Google Workspace (Gmail, Drive, Calendar); experience with an EHR or practice management platform is a plus
Discretion and professionalism when handling confidential health information (HIPAA)
Reliable and self-directed in a remote work environment
Bachelor's degree or equivalent experience

Compensation & Employment Details

$25.00 per hour
W-2 employee
Fully remote
Part-time to start, moving to full-time as the practice grows, with no fixed start date for that change
Paid sick leave
