Full Job Description

**We are currently interviewing candidates for an 11/2 start date.

Overview

The HR Assistant role is responsible for supporting employee lifecycle processes, recruiting, onboarding and offboarding, compliance tracking, benefits administration, employee engagement initiatives, scheduling coordination, personnel records management, reporting, audits, and HR systems administration. The HR Assistant serves as a key point of contact for employees and helps ensure efficient HR operations while maintaining confidentiality and compliance with organizational policies and procedures.

The ABA Scheduling Coordinator is responsible for coordinating and managing the daily scheduling operations for Applied Behavior Analysis (ABA) services to ensure continuity of care and maximize staff and client coverage. This role serves as the central point of coordination for clinician schedules, time-off requests, session coverage, and staffing adjustments. The ABA Scheduling Coordinator utilizes scheduling software and Microsoft management tools to maintain accurate schedules, address last-minute changes, and strategically match staff qualifications, availability, and client needs.

HR Assistant Key Responsibilities

Manage daily HR communications through shared email inboxes, individual email accounts, Microsoft Teams, and other communication platforms.
Organize, maintain, scan, upload, and secure employee personnel records and HR documentation.
Maintain accurate employee information across company systems
Assist HR manager with candidate selection and hiring decisions.
Work with HR Manager to coordinate recruitment activities including posting jobs, screening applicants, scheduling interviews, and conducting reference checks.
Coordinate and facilitate onboarding activities for new employees.
Process new hire, employee change, and termination information in HR systems. Maintain onboarding and offboarding checklists and documentation.
Support employee recognition programs and workplace culture initiatives.
Monitor employee certifications, licenses, training requirements, and renewal deadlines.
Manage health insurance benefit tracking, reminders, and documentation.
Create, update, and maintain HR forms, checklists, policies, and procedures.
Assist with organizational transitions and process improvements
Provide support and resources to employees as needed.
Attend HR meetings and contribute to departmental initiatives and projects.
Perform additional HR, scheduling, administrative, and operational duties as assigned.
Maintain strict confidentiality of employee, client, scheduling, payroll, medical, and organizational information in accordance with company policies, HIPAA requirements, and applicable privacy regulations. Exercise discretion when handling sensitive personnel matters, leave requests, staffing issues, and client-related information.

ABA Scheduling Coordinator Key Responsibilities

Coordinate daily scheduling for ABA clinicians and client sessions
Maintain and update schedules within electronic health record scheduling systems.
Manage staff assignments, schedule changes, cancellations, and coverage needs.
Develop and maintain master schedules for clinicians and clients.
Coordinate last-minute staffing coverage, including evenings and weekends when necessary.
Collaborate with supervisors to ensure supervision requirements and staff-to-client ratios are met.
Coordinate emergency, after-hours, and last-minute coverage needs, including evenings and weekends as necessary.

Pay: From $23.00 per hour
