Full Job Description

Position: Senior Center On-Call Coordinator

FLSA: Non-Exempt

Department/Site: Public Works / Parks & Facilities

Salary Grade: 110

Union: AFSCME

Position Summary

Under general supervision, the On-Call Senior Center Coordinator provides direct on-site oversight of daily Senior Center operations. This position supports program administration, volunteer coordination, nutrition program activities, and customer service needs to ensure a welcoming, safe, and responsive environment for older adults. The On-Call Coordinator must be nimble, creative, and capable of developing innovative solutions to meet evolving participant needs and maintain continuity of services during staff absences or peak workload periods.

Level of Authority

This position works with limited supervision within established City policies and procedures. The position may lead volunteers, coordinate activities independently, and exercise judgment in responding to participant needs, operational issues, and unexpected situations.

Essential Duties and Responsibilities

· Maintain daily responsibility for administration and oversight of Senior Center programs and activities.

· Support, schedule, assign, and supervise volunteers in implementing center programs and services.

· Prepare schedule for center programs and activities as needed to maintain continuity of operations.

· Deliver courteous and effective communication with participants, volunteers, and the public; address concerns with diplomacy and compassion.

· Foster an inclusive, welcoming environment that encourages participation and engagement; build relationships with participants to identify interests and support community connection.

· Maintain participation records, progress reports, and documentation required for nutrition reporting.

· Count, deposit, and record daily donations in accordance with established procedures.

· Make referrals to appropriate community resources and services.

· Enforce and adhere to all health, safety, and regulatory requirements.

· Maintain confidentiality of sensitive participant and organizational information.

· Assist with coordination of congregate meal service, consistent with City Coordinator responsibilities.

· Provide operational support during special events and fundraising activities as needed.

Qualifications

Knowledge and Skills

· Principles of program planning, development, and evaluation.

· Creative program development techniques and approaches to fostering innovation in community services.

· Volunteer coordination, supervision, and community engagement practices.

· Conflict resolution, de-escalation, and customer service methods.

· Regulations relevant to senior services, nutrition operations, and community center activities.

· Basic office technology including Microsoft Office and standard office equipment.

Abilities

· Work cooperatively and collaboratively with community organizations, volunteers, and participants.

· Demonstrate the capacity to think and problem-solve in an innovative and solution-focused manner.

· Provide high-quality customer service with tact and professionalism.

· Maintain confidentiality and appropriately handle sensitive information.

· Respond effectively to inquiries and concerns.

· Organize, record, and maintain program attendance information.

Education and Experience

· High school diploma or GED; and

· One year of general office or reception experience; and

· Direct experience supporting senior programs;

Or an equivalent combination of experience and training that provides the required skills and abilities.

Licenses and Certificates

· Valid Washington State Driver's license.

· Valid First Aid and CPR cards or ability to obtain within three months of hire.

Physical Abilities

· Ability to lift up to 50 pounds.

· Frequent standing and active movement during program activities.

· May work alone within the facility during portions of the workday.

Working Conditions

· Work occurs primarily within the Senior Center with approximately 10% off-site activities.

· Exposure to general public interaction, standard cleaning chemicals, and normal community center environmental conditions.
