Full Job Description

Rockford Specialties is seeking a dependable and detail-oriented Customer Service Coordinator to serve as a primary point of contact for our customers.

This position manages customer orders from entry through shipment, communicates order status and changes, prepares shipping and quality documentation, and works closely with production, shipping, quality, sales, and accounting. The ideal candidate is organized, responsive, comfortable working in an ERP system, and able to manage multiple priorities in a fast-paced manufacturing environment.

Essential Duties and Responsibilities

Answer incoming calls, emails, and customer inquiries professionally and promptly.
Enter, process, confirm, and maintain customer orders, purchase orders, requests, and account updates in the ERP system.
Provide accurate product, pricing, availability, shipment, and order-status information.
Review customer purchase orders and order details for completeness and accuracy.
Communicate discrepancies or missing information before orders are processed.
Coordinate with production, shipping, quality, sales, and accounting to monitor order progress.
Communicate order changes, delays, shipment updates, and potential risks to customers.
Arrange customer shipments and prepare packing slips, bills of lading, certificates of conformance, and related documentation.
Maintain material certifications and provide certification packages and shipment documents to customers.
Match packing tickets to customer orders and review billing information to support accurate invoicing.
Close completed orders in the ERP system and maintain accurate customer and order records.
Investigate customer concerns, order issues, and shipment discrepancies.
Coordinate corrective action and escalate issues when appropriate.
Track open customer requests and follow through until they are resolved.
Prepare customer credit applications and route completed documentation for approval.
Provide backup support for invoicing, accounts receivable, and collections as needed.
Maintain the confidentiality of company, pricing, customer, and order information.
Perform other customer service and order-support duties as assigned.

Qualifications

Associate degree from a two-year college or technical school, two or more years of related experience or training, or an equivalent combination of education and experience.
At least two years of customer service, order management, inside sales support, or related experience preferred.
Manufacturing or industrial experience is strongly preferred.
Experience working with ERP or MRP systems.
Proficiency with Microsoft Office applications.
Working knowledge of manufacturing order flow, production scheduling, shipping documentation, and customer requirements is preferred.

Knowledge, Skills, and Abilities

Strong written and verbal communication skills.
Excellent attention to detail and commitment to order accuracy.
Strong organizational, problem-solving, and follow-up skills.
Ability to manage multiple priorities and changing deadlines.
Ability to remain professional while addressing customer concerns or resolving conflicts.
Ability to read and interpret purchase orders, technical documents, blueprints, specifications, and customer requirements.
Ability to calculate discounts, percentages, quantities, and other figures used in order and billing review.
Ability to communicate effectively with customers, vendors, employees, and management.
Bilingual skills are a plus.
