Full Job Description

The General Federation of Women’s Clubs is an international women’s organization dedicated to community improvement by enhancing the lives of others through volunteer service. GFWC Headquarters is a National Historic Landmark located at 1734 N Street, NW in Washington DC. Headquarters serves as the working offices for the GFWC International President and staff, and it is also the home of the Women’s History and Resource Center

JOB TITLE: Executive and Finance Associate

CLASSIFICATION: Exempt, Full-time

DEPARTMENT IN GFWC: Executive Office

REPORTS TO: Chief of Operations

JOB SUMMARY:

The Executive and Finance Associate, under the supervision of the Chief of Operations, is responsible for maintaining the smooth operation of the GFWC Executive Office and handling day-to-day accounting operations and working directly with GFWC’s outsourced accountant. In addition to the list of responsibilities below, the Executive and Finance Associate will perform additional duties that are consistent with the general area of responsibilities of this position.

ESSENTIAL FUNCTIONS:

Support Executive Office, Executive Committee, the Board of Directors, and the Meeting and Events team in all aspects of administrative and governance work.
Complete day-to-day financial operations for GFWC including accounts receivable and coding and liaise with GFWC’s outsourced accountant.
Ensure established financial policies, procedures, and internal controls are followed.
Recommend potential changes to policies and practices that are in accordance with Generally Accepted Accounting Principles and nonprofit accounting standards.
Assist the elected Treasurer and Chief of Operations in developing the annual budget.
Assist with the timely completion of the annual audit and necessary tax filings.
Provide quality customer service when responding to members of the Executive Committee, Board of Directors, and GFWC clubwomen’s requests regarding financial matters.
Identify potential vendors, obtain estimates, and coordinate vendors conducting work on GFWC properties.
Provide support, as needed, with front desk responsibilities.
Attend GFWC’s Annual Convention and provide onsite logistical and member support.

ADDITIONAL RESPONSIBILITIES

Assist the Events Manager with event planning, including invite lists, registration, and event setup.
Assist the Programs and Public Policy Specialist with in-person and virtual programs, webinars, and workshops by preparing materials and assisting with sessions.
Support the Programs and Public Policy Specialist in maintaining Affiliate Organizations and program partner relationships.
Manage the GFWC member recognition programs: awards, contests, and the Success for Survivors Scholarship.

QUALIFICATIONS:

2+ years working in a office setting with financial and customer service responsibilities.
Experience with QuickBooks and Microsoft Office, particularly Excel.
Dynamic team player and strategic thinker.
Attention to accuracy and detail in all aspects of responsibilities; excellent organizational skills.
Excellent time management and problem-solving skills.
Ability to communicate effectively with diverse audiences; excellent interpersonal skills.
Experience working with membership and fundraising databases.
Flexibility and a willingness to perform other reasonable duties as requested.
