Job Summary:

The Assistant Director, Student Affairs Business and Operations is responsible for preparing departmental budget and reconciling reports of internal business processes, analyzing monthly revenue and expenses, forecasting annual revenue, and providing solutions to production, billing and administrative issues for multiple departments within the Division of Student Affairs

Duties & Essential Job Functions:

1. Oversees critical business functions for multiple departments within the Division of Student Affairs. Duties will include oversight of office staff as it relates to these functions.
2. Coordinates and executes departmental contracts with community partners using Jaggaer contract management system.
3. Develops budget, forecasting, and analysis to be used by departmental leadership for key activities or decision making.
4. Responsible for budget and strategic project management: business case, scope, cost, schedule, action cycles, risks, issues, decisions, interdependencies and milestones.
5. Develops business models and cross-functional initiatives to drive long-term business sustainability.
6. Creates budget planning documents, and assists Director with budget planning, reallocations, tracking spending, internal reconciliations, and other budget functions.
7. Manages centralized repository of processes, improves processes to minimize complexities, and optimizes to promote effective operations and utilization.
8. Maintains large volumes of complex data sets through monthly reconciliation practices involving cross-referencing with various campus partners.
9. Participates in departmental strategic plan by supporting new initiatives, cooperating and adapting to changes and processes, and collaborating with others.
10. Produces interfaces and other output from system by following policy, practice, and methodology; preparing files, reports and designing queries.
11. Resolves issues by researching questions; troubleshooting issues and making recommendations for changes to prevent reoccurring problems; interpreting policies and procedures; establishing and maintaining successful working relationships with internal and external resources.
12. Supports assigned projects by analyzing issues and making recommendations for change; training staff on new processes and procedures.
13. Works directly with Director, multiple stakeholders and various campus departments to optimize team performance, track strategic goals, milestones and accomplishments: KPIs.
14. Coordinates business relationships with vendors; oversee contracts, monitor vendor performance and make recommendations to director on use of vendors.
15. Contributes to the development and maintenance of procedures and process documentation to achieve a more effective work flow for division. Develops and coordinates records retention protocols for department.
16. Performs other related duties as assigned.

Required Education & Experience:

Bachelor’s degree.
3 years’ working with application systems in an accounting or higher education housing environment to include administrative experience.

Knowledge, Skills & Abilities:

Knowledge of accounting theories and processes.
Knowledge of customer service techniques.
Knowledge of project management techniques.
Skill in components of Microsoft Office to include Excel, Access, PowerPoint, and Word.
Skill in Microsoft Windows navigation.
Skill in information data base system (preferably PeopleSoft and/or StarRez).
Skill in using report writers to obtain customized output.
Skill in analyzing and organizing information.
Skill in writing, developing presentations and presentation techniques.
Skill in oral and written communication techniques.
Ability to work independently and on a team serving a common goal.
Ability to research and troubleshoot information system issues.
Ability to train users on changes to information system and related processes.
Ability to manage multiple projects simultaneously and to meet identified deadlines.
Ability to work with a high degree of accuracy.
Ability to evaluate and make recommendations to improve operations.

Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
This role is an on campus, in-person position.
