Job Overview
We are seeking an energetic and detail-oriented Secretary/Receptionist to join our dynamic team! In this vital role, you will be the friendly first point of contact for visitors and callers, ensuring a positive experience while efficiently managing administrative tasks. Your organizational skills and proactive attitude will help keep our office running smoothly, supporting various departments with clerical and customer service functions. This paid position offers an exciting opportunity to develop your office management expertise in a professional environment that values enthusiasm, reliability, and excellent communication.

Duties

Greet visitors warmly and professionally, providing exceptional customer service at the front desk
Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
Handle incoming correspondence, emails, and inquiries promptly and efficiently
Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
Perform data entry, proofread documents, and assist with clerical tasks such as photocopying, scanning, and faxing
Support calendar management by scheduling appointments, meetings, and reminders for staff or executives
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software as needed
Support office management activities including supply inventory, order processing, and maintaining a tidy workspace
Provide administrative support to various departments or personal assistants as required

Qualifications

Proven office experience with strong organizational skills and attention to detail
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with multi-line phone systems and phone etiquette essential for professional communication
Bilingual abilities are highly desirable to serve diverse client needs effectively
Familiarity with QuickBooks or bookkeeping software is a plus
Strong typing skills with high accuracy; ability to perform data entry efficiently
Previous clerical or administrative experience in a medical or dental office is advantageous
Exceptional customer service skills with a friendly demeanor and professional attitude
Ability to manage time effectively in a fast-paced environment while maintaining accuracy in all tasks
