Position Overview

We are seeking a reliable, organized, and personable Part-Time Personal Assistant based in Bend, Oregon to support the day-to-day household and personal needs of a private family. This role is primarily hands-on and local, requiring someone comfortable running errands, managing household logistics, and keeping schedules organized. The ideal candidate is exceptionally trustworthy, discreet, and takes pride in keeping things running smoothly.

Key Responsibilities*Household Coordination

Manage scheduling and logistics across multiple residences using shared calendars.
Coordinate guest arrivals, departures, and accommodations at family properties.
Check and sort household mail weekly; route bills and documents to the appropriate parties.
Maintain and organize databases for Christmas card lists, event contacts, and household records.
Maintain updated contact lists for household vendors, service providers, and family contacts.

Errands & Day-to-Day Tasks

Handle local errands: dry cleaning, grocery and supply runs, deliveries, returns, and pickups.
Coordinate household vehicle maintenance — oil changes, tire rotations, registration renewals, and service scheduling.
Source and liaise with local service providers (contractors, cleaners, repair specialists) as needed.

Scheduling & Personal Support

Maintain and manage personal calendar for household principals.
Arrange personal appointments — medical, wellness, social, and other commitments.
Assist with booking flights, accommodations, and travel logistics.
Help plan logistics for visiting guests, family events, and seasonal activities.

Administrative Support

Draft basic correspondence and follow up on personal matters as directed.
Maintain organized records and files for household-related accounts and documents.
Forward bills and financial documents to the Bookkeeper in a timely manner.

Qualifications

Must be local to Bend, Oregon — on-site presence and local errand running is a core part of this role.
Prior experience as a personal assistant, household manager, or in a similar support role preferred.
Highly organized with strong attention to detail.
Excellent communication and interpersonal skills.
Exceptionally trustworthy and discreet — this role involves access to private household, family, and personal information; confidentiality is non-negotiable.
Comfortable working independently with minimal day-to-day oversight.
Must own a personal computer and personal phone for day-to-day task management and communication.
Proficiency in Google Workspace (Calendar, Gmail, Drive) and Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with Adobe Acrobat or Adobe Creative tools is a plus.
Comfortable with basic database management — maintaining contact lists, event rosters, and organized digital records.
Valid driver’s license, reliable personal vehicle, and clean driving record required.
Flexibility for occasional schedule and responsibility adjustments; light weekend availability may be needed.
Notary certification is a plus but not required.

Compensation & Details

Part-time position — estimated 25-30 hours per week, flexible scheduling.
Bend, OR based; combination of local errands and remote administrative work.
Compensation commensurate with experience.
This is a household/private employer role.

Pay: $36,000.00 - $38,000.00 per year
