About the Role
We are seeking a highly organized Safety & Compliance Coordinator to own our safety program, administer our compliance and prequalification platforms, keep our fleet DOT-compliant, and ensure our technicians are onboarded, credentialed, and ready to work.
This is a high-visibility, cross-functional role with direct exposure to senior leadership. You will manage a steady rhythm of daily, weekly, monthly, and annual deadlines that keep our people safe, our company audit-ready, and our customers confident that we meet every safety and compliance requirement they put in front of us. The right person is a systems-minded owner who thrives on detail, follow-through, and accountability.
Key Responsibilities
Safety Program & Training
- Plan and lead monthly safety training and the monthly safety committee meeting.
- Prepare and maintain JHA / JSA / pre-task analysis forms for both service and project work.
- Assemble and maintain jobsite and project safety binders (digital and physical), including uploads to customer-specific safety portals.
- Track hot work permits and complete project-specific safety requirements as they arise.
- Order and maintain inventory of safety equipment, PPE, and technician clothing/uniforms through approved vendors.
Safety Documentation, OSHA & Recordkeeping
- Maintain all safety documentation, including OSHA 300/300A logs, OSHA 301 injury forms, incident reports, and training records.
- Complete the annual OSHA 300A summary and ensure timely posting (February 1–April 30 each year).
- Review, update, and develop company safety policies and procedures as needed.
Insurance & Claims
- Manage workers’ compensation claims from intake through resolution.
- Manage auto and accident insurance claims.
- Maintain Certificates of Insurance (COIs) in coordination with the insurance/admin team.
Compliance, Prequalification & Licensing
- Administer third-party compliance platforms and complete annual renewals (ISNetworld, Avetta, Highwire).
- Maintain customer-specific safety and compliance portals.
- Complete prequalification packages for new projects and new customers.
- Renew and apply for contractor licenses (annual, typically April) and secure project permits as needed.
Fleet, DOT & Telematics
- Monitor the Samsara safety inbox daily and distribute monthly speeding and driver-behavior reports.
- Schedule and maintain technician DOT physicals and medical cards.
- Coordinate truck inspections and maintain inspection logs with the fleet/maintenance lead.
- Maintain the equipment inspection form and equipment records; route needed repairs to the fleet/maintenance lead.
- Administer fleet key and asset-tracking systems.
Onboarding & Credentialing
- Conduct new-hire orientations in partnership with HR, including orientation paperwork and portal-based trainings.
- Order pre-employment and project-specific background checks and drug screens.
- Manage technician site badging and credentials (UPS, FedEx, TWIC, Amazon, and others).
IT, Accounts & Communications
- Administer the company phone list and the Verizon mobile/fleet account.
- Manage email distribution groups (All / Office / Technicians).
- Develop and distribute the monthly company newsletter.
Vendors, Procurement & Travel
- Manage vendor relationships and maintain vendor contact records.
- Coordinate technician travel as needed.
Reporting & Administration
- Generate the weekly technician shop-time report for leadership.
- Produce the daily morning time-on-site report (Samsara).
- Support finance on accounts reconciliation projects as needed.
Qualifications
Required
- 2+ years in safety, compliance, HR, or administrative coordination — ideally in construction, the trades, field services, or fleet-based operations.
- Working knowledge of OSHA recordkeeping and general workplace safety standards.
- Exceptional organizational skills and attention to detail, with the ability to manage many concurrent deadlines across daily, weekly, monthly, and annual cycles.
- Proficiency with Microsoft Office (Excel in particular) and the ability to learn new software platforms quickly.
- Strong written and verbal communication skills.
- Discretion and sound judgment handling confidential employee, claims, and HR information.
- Valid driver’s license.
Preferred
- Hands-on experience with compliance and prequalification platforms (ISNetworld, Avetta, Highwire).
- Familiarity with DOT / FMCSA requirements and fleet telematics (Samsara or similar).
- Experience with customer safety portals and project prequalification packages.
- Experience administering site badging and credentialing programs.
- OSHA 30 certification (or willingness to obtain).
Work Environment
- On-site at our Levittown, PA headquarters.
- Primarily an office environment, with regular time in the shop and yard.
- Occasional coordination across our Allentown, PA and Maryland branches.
