As a Multidisciplinary Programs Scheduler at our private oncology clinic, you’ll play a vital role in orchestrating seamless care across specialties—ensuring every patient’s journey is thoughtfully planned, expertly managed, and centered on timely, life-changing treatment. Highlands Oncology began in 1996 with three physicians and a desire to change the face of oncology care in our community. Dr. Malcolm Hayward, Dr. Dan Bradford, and Dr. Thad Beck knew that patients do better at home, in the community where they live and work, and where their support system is already in place. In furthering that goal, Highlands has grown with the region from a single location 26 years ago, to 6 locations in Northwest and Northcentral Arkansas today employing more than 850 diverse team members.

As Northwest Arkansas continues to grow, so must the services and providers available in the region. Highlands Oncology is committed to remaining on the cutting edge to ensure our community has access to the very best cancer care. What we have is something quite unique right here in our own backyard with a caring multidisciplinary team focused on treating patients like family.

Job Summary: The Center for Chest Care is a multidisciplinary lung clinic providing patients access to Oncology, Pulmonology, and Cardiovascular Thoracic surgery in one visit. The Scheduler will coordinate and schedule new patient referrals and diagnostic work-up for patients diagnosed with thoracic cancer or lung abnormality.

Job Duties / Responsibilities:

Promptly and accurately triage new patient referrals.
- Referrals should be called within 3 business days of receipt of referral.
- Urgent patients should be called within 2 business days of receipt of referral
Schedule new patient appointments in appropriate timeframe.
New Patients should be offered an appointment within 7 business days of being received.
Request and scan records into EMR which are pertinent for specific diagnosis. Example: labs, pathology, scans, insurance information and other diagnostic procedures.
Order appropriate diagnostic work-up for patients appropriate for diagnosis. Example: PET, CT, MRI, PFT, etc.
Document and communicate with Navigators thoroughly after scheduling a new patient.
Answer Chest Clinic Phone line
Chest Clinic Phone line will ring to the Scheduler's extension. After three rings, if not answered, it will transfer to the Navigator pool.
- Calls received before 3PM must be returned on the same business day.
- Canopy tickets must be resolved, including contacting patients, within 24 hours.
Follow established processes and procedures in Multidisciplinary Department to ensure highest quality of patient care and customer service.
Exercise judgment and independent decision-making skills regarding patient appointments.
Maintain proper documentation of patient progress in EMR.
Provides and maintains patient confidentiality

Required Skills/Abilities:

Must possess excellent communication skills both written and verbal.
High attention to detail
Excellent people skills include, but not limited to adaptability, assertiveness, problem solving and teamwork.
Maintains a high standard of professional performance, behavior, and appearance.
Proficient in use of EMR (electronic medical record)
Ability to perform basic functions in Excel.
Typing skills

Certifications/Licenses/Education/or Experience in a related field:

Graduate from an accredited Medical Assistant Program or equivalent, or aptitude for the job duties and responsibilities.
Must have patient care experience.
Clinical scheduling experience preferred.

Physical Requirements:

Sitting for prolonged periods of time at a desk.
Computer use that requires visual acuity, typing, use of mouse/keyboard, and staring at a screen for extended periods of time.
Occasionally lifting objects of up to 25 pounds such as files, office supplies, assisting patients when needed, etc.
Walking and standing for continuous periods around the office or clinic as needed.
Fine motor skills for tasks like typing, writing, handling small objects or equipment and materials.
