Job Summary:
The Field Coordinator is responsible for the delivery of Brain Power Wellness services in Brooklyn, Queens and Staten Island school districts. This includes developing and managing relationships with Principals/school leaders and collaborating to create Purchase Orders, meeting monthly income goals, scheduling services and supervising instructors, providing training and ensuring the quality and effectiveness of Brain Power Wellness's services. The Field Coordinator is also responsible for representing Brain Power Wellness to large and various audiences, conducting presentations, and actively engaging and managing staff participation in demos, workshops, etc.
● Core Responsibilities:
- Take ownership of meeting monthly goals and ensure services outlined in the Purchase Order are scheduled and contracts are closed out within a stated time period.
- Document monthly goals & progress on related income spreadsheets
- Lead and be a Trainer for various workshops eg Teacher Workshops, Parent Workshops, Students Leadership Program, School Staff and Student Retreats
- Provide Daily Reports summarizing daily activity to Services Dept. Supervisor
- Attend Field Coordinator/Supervisor Meetings, Staff Meetings, and Trainings
- Conduct self-care daily training to manage your own physical, emotional and cognitive health
- Attend weekly check ins/supervision meetings with Services Dept. Supervisor
- Professionally present Brain Power Wellness, it's mission and benefits to large and various audiences.
● Managing Schools & Relationships:
- Maintain collaborative school partnerships from year to year by upselling and meeting with School Principals to identify additional services BPW can provide the school, and subsequently creating Purchase Orders to continue services.
- Conduct meetings with School Principals to discuss the implementation plan for BPW services. Collaborate with Accounts Receivable to counsel school leaders on how to fit Brain Power Wellness into their school budget in order to identify services for Work Orders.
- Articulate Brain Power Wellness’s School Model, menu of services and how implementing Brain Power Wellness will support SEL and a school’s CEP (comprehensive educational plan) goals and enhance school culture.
- Schedule services and BPW instructors for each assigned Purchase Order
- Data enter weekly schedule into scheduling platforms
- Continually check in with School Leaders (e.g. Principals, AP, Teacher Leaders) to develop good relationships, and assess the quality of BrainPower Wellness services.
- Ensure quality and effectiveness of Brain Power Wellness’s services. Meet at the end of the school year with School Principals to review Brain Power Wellness implementation, and quality of services and make plans for the following year.
- Manage the completion of the Purchase Order process from beginning to end.
- Coordinate material orders with the Operations Department to ensure timely delivery of materials for trainings.
- Obtain documentation of all services delivered i.e. Sign In Sheets, and upload with Genius App
● Supervising Instructors:
- Train, mentor, coach and supervise assigned Instructors.
- Mentor and model for Instructors the expectations required of them in the Instructor role.
- Maintain communication with the Trainers and Quality Assurance Team regarding the development of new Instructors until they are able to conduct services independently.
- Create weekly schedules for instructors, notify them of assignments and orient them to the school and the services the school is receiving
- Ensure Instructors are consistently completing their daily administrative tasks eg obtaining documentation of services delivered, uploading Sign In Sheets, and submitting Daily Reports.
- Read & respond to Instructors' Daily Report each day.
- Establish open communication with Instructors, meet one on one weekly to review schedules, services being delivered, discuss potential opportunities or challenges, and provide constructive feedback.
- Ensure Instructors have expert knowledge of their assigned schools, school contacts, BPW services and a history of how Brain Power has been implemented and received.
- Ensure Instructors are provided with the support and resources they need to deliver high quality services eg develop their skills by providing constructive feedback on their service delivery, provide opportunities to enhance their school relationships, assign them to stretch projects and additional services.
- Submit performance evaluations, participate in evaluation feedback meetings, and provide opportunities for Instructor's professional growth when appropriate
● Responsibility to Accounts Receivable:
- Uploading & submitting documentation sign in sheets, delivery slips, notes etc.. on the same day the service is completed.
- Update Accounts Receivable on status of services delivered as requested by Accounts Manager
- Update mHelpDesk as required per policy (also with instructors).
- Ensure the weekly schedule is filled in many weeks in advance.
- Customer info updated, such as, Principle, AP, Leaders, Mentors,
- Business Admin.
Qualifications:
● Bachelor's degree in education, social work, or a related field (optional)
● Experience in a school, recreation, wellness setting or a related field.
● Bi-Lingual Spanish a strong plus but not required
● Supervisory experience training, and supervising employees - required !
- Strong communication and interpersonal skills.
● Experience teaching or trainings adults and children/youth - required !
● Ability to work independently and as part of a team.
● Strong organizational and time management skills.
● Ability to work under pressure and meet deadlines.
● A self-starter with a positive mindset.
