Full Job Description

Part-Time Commercial Real Estate Administrative Assistant / Bookkeeper. Location: Bay Area, CA (East Bay or Peninsula preferred, not required)
Work Arrangement: Primarily remote
Schedule: 14–16 hours per week/Two days per week (potentially more)
Compensation: $40–$45 per hourPosition OverviewAn experienced Bay Area commercial real estate investor and broker is seeking a highly organized and trustworthy Part-Time Real Estate Administrative Assistant/BookeeperThis individual will help manage the administrative and financial details associated with approximately 10 privately held real estate properties, including properties owned with outside investors. The position is ideal for someone who enjoys creating organization, managing recurring responsibilities, and supporting a real estate professional in a long-term working relationship. Further, this position is flexible and is ideal for someone looking for a part-time position or extra hours. Prior experience in Commercial real Estate administrative assistance is required. Responsibilities

Organize and maintain property, deal, and lease files
Maintain leases, amendments, property management reports, invoices, and related documents
Assist with property-related bill payment and approved electronic transfers
Review and help maintain financial information
Assist with investor distributions and implementation of distribution software
Track property-related LLC payments, including annual payments, Statements of Information, etc.
Coordinate with the property managers for the properties for reporting and property-level bills
Coordinate with the outside accountant on year-end property records
Provide administrative support related to real estate investments and brokerage activities
Participate in a standing weekly meeting or call to review priorities and open items (flexible on weekly date)

Qualifications

4+ yrs. Real Estate Administration, Bookkeeping, property management support
Experienced in Quicken, QuickBooks, or similar financial software
Proficiency with Google Drive, Excel spreadsheets, and electronic document management
Confident handling confidential property, investor, banking, and financial information
Strong organization, attention to detail, communication, and follow-through
Able to work independently and proactively manage recurring deadlines
Commercial real estate experience, familiarity with investor distributions, and experience supporting multiple LLCs are preferred but not required
Must reside in the Bay Area, CA

Work Arrangement: The position can be performed remotely from a home office. Optional workspace is also available in the Palo Alto office for someone who prefers an office environment. Occasional in-person meetings may be requested, especially during the onboarding process but generally this is a remote position. This role requires a self-starter with sound judgment, discretion, and a genuine interest in becoming a dependable long-term administrative partner.
