We are seeking a highly organized, process-driven Inventory Operations Manager to oversee the movement, integrity, reporting, and operational management of our high-value inventory environment.
Position Summary:
The Inventory Operations Manager serves as the operational hub of Lang’s inventory lifecycle. This role oversees the movement of inventory from acquisition through restoration, cataloging, photography, pricing, merchandising, e-commerce, and sale.
This individual will partner closely with leadership, gemologists, workshop staff, marketing, photography, and retail teams to ensure inventory accuracy, operational efficiency, and reporting integrity across all systems.
The ideal candidate is analytical, highly organized, detail-oriented, and experienced in managing complex inventory workflows within a luxury retail, jewelry, auction, or high-value product environment.
This is not a sales-focused role, it is a hands-on operational leadership position responsible for maintaining standards, improving processes, and ensuring accountability throughout the inventory journey.
Key Responsibilities:
Inventory Operations & Workflow Management
- Oversee the complete lifecycle of inventory from intake through final sale
- Coordinate workflow across restoration, cataloging, photography, marketing, merchandising, e-commerce, and retail operations
- Monitor workflow timelines and ensure inventory moves efficiently through each operational stage
- Develop and maintain operational procedures, documentation standards, and inventory protocols
- Identify process inefficiencies and implement operational improvements
Inventory Intake & Quality Control
- Manage intake and receiving of antique, vintage, and estate jewelry
- Partner with workshop and gemology teams to verify condition, materials, gemstone information, and documentation accuracy
- Ensure all incoming inventory is accurately entered into systems and properly tracked
- Maintain chain-of-custody and inventory control standards for high-value merchandise
Systems & Reporting
- Serve as the primary operational lead for Magento (Adobe Commerce), inventory tracking, and reporting systems
- Maintain accurate inventory data across Magento, Excel reporting tools, and Google Workspace systems
- Generate and analyze:
- Monthly inventory reports
- Consignment reports
- Sales analysis reports
- Aging inventory reports
- Workshop productivity reports
- Inventory reconciliation reports
- Analyze inventory trends and provide operational recommendations to leadership
Inventory Accuracy & Audits
- Conduct ongoing physical inventory counts and cycle counts
- Reconcile discrepancies and investigate inventory variances
- Maintain accurate sales floor inventory and case counts
- Ensure inventory accuracy between physical inventory and system records
Vendor & Inventory Coordination
- Coordinate repair, restoration, and workshop tracking
- Monitor recurring inventory categories and ordering needs
- Support operational communication between departments to ensure inventory readiness for sale
Qualifications
- 5+ years of inventory operations, retail operations, or inventory management experience
- Previous leadership or management experience overseeing operational workflows, projects, or teams required
- Demonstrated ability to lead cross-functional coordination between inventory, workshop, cataloging, photography, e-commerce, and retail teams
- Strong ability to establish operational standards, maintain accountability, and improve processes
- Experience coaching, mentoring, or supervising staff in a fast-paced operational environment preferred
- Strong decision-making, prioritization, and organizational leadership skills
- Ability to manage multiple competing priorities while maintaining exceptional attention to detail
- Experience working with luxury goods, jewelry, antiques, watches, art, or other high-value merchandise strongly preferred
- Strong proficiency in Magento (Adobe Commerce) or similar inventory/e-commerce systems
- Advanced Excel skills including reporting, formulas, data analysis, and reconciliation
- Strong Google Workspace and Google Drive experience
- Experience managing inventory workflows across multiple departments
- Strong analytical and organizational skills
- Ability to maintain discretion and accountability with high-value merchandise
- Process-oriented mindset with strong attention to detail
- Excellent communication and follow-through skills
- Graduate Gemologist (GG) certification or jewelry industry experience is a plus but not required
Pay: $85,000.00 - $105,000.00 per year
